Navolio & Tallman LLP is seeking a highly organized, proactive, and client-focused Executive Assistant to support firm Partners in our Walnut Creek office. This role plays a critical part in ensuring seamless day-to-day operations, delivering exceptional client service and supporting a fast-paced public accounting environment where excellence is the standard and relationships come first.

You will play a key role in fostering a high-touch, people-first experience for both clients and internal teams, ensuring communication is thoughtful, responsive, and aligned with our commitment to excellence. This position operates in a fast-paced, deadline-driven environment (particularly during peak tax season) and requires flexibility to maintain a hybrid or in-office presence aligned with firm needs. 


Responsibilities 

  • Provide high-level administrative support to Direct Partner and/or executive team 
  • Manage complex calendars, scheduling meetings and travel logistics 
  • Prepare meeting materials, agendas, and track follow-up action items 
  • Screen, prioritize, and manage communications on behalf of executives, as needed  
  • Serve as a point of contact for clients, ensuring a professional and responsive experience 
  • Coordinate client communications, document requests, engagement timelines, and onboarding processes 
  • Maintain accurate client records and support ongoing relationship management 
  • Manage multiple priorities simultaneously in a fast-paced, deadline-driven environment 
  • Support firm-wide initiatives, special projects, and cross-functional coordination 
  • Provide occasional office support for the Walnut Creek location 
  • Handle highly sensitive financial and client data  
Requirements
  • Exceptional organizational, time management, and communication skills, with a strong attention to detail and a proactive, solutions-driven mindset 
  • Demonstrates professionalism, discretion, and the ability to handle confidential information 
  • Self-motivated and capable of working independently while maintaining a strong client-service focus and building meaningful relationships 
  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) 

Qualifications 

  • 5+ years of experience in an Executive Assistant or senior administrative role 
  • Experience in a public accounting firm or professional services environment strongly preferred 
Salary Description
80,000-105,000
