About the Role 

We are seeking a highly organized, detail-oriented, and analytical Business Operations Coordinator to support the day-to-day business and financial operations of a leading talent agency. This role provides broad exposure to business operations, accounting, client service, and cross-functional collaboration.


Working closely with Operations, Accounting, Finance, Business Affairs, Legal, and agency leadership, you will help manage accounting workflows, process client transactions, improve operational processes, and support strategic initiatives that keep the business running efficiently. Key Responsibilities

Accounting & Financial Operations

  • Review and process client paperwork, bookings, and      related documentation with a high degree of accuracy.
  • Process incoming client payments, commissions,      invoices, and client disbursements in accordance with company policies.
  • Prepare and distribute internal and external      financial reports and reconcile financial information as needed.
  • Maintain accurate financial records while ensuring      compliance with internal controls and financial procedures.
  • Support data integrity initiatives and identify opportunities      to improve accounting workflows and operational efficiency.

Business Operations & Project Coordination

  • Coordinate operational projects and initiatives      across multiple departments.
  • Assist with documenting, improving, and      implementing business processes and workflows.
  • Track operational priorities, deadlines, and      deliverables to ensure timely execution.
  • Support implementation of new systems, tools, and      best practices that improve business performance.
  • Conduct research, gather data, and prepare reports      and presentations for leadership.

Client & Cross-Functional Support

  • Serve as a professional point of contact for      agents, clients, executives, and internal stakeholders.
  • Respond promptly to requests for financial      information and operational support.
  • Coordinate across Accounting, Finance, Business      Affairs, Legal, Technology, and Talent teams to ensure smooth execution of      business activities.
  • Maintain confidentiality while handling sensitive      financial and business information.
Requirements

  

Qualifications

Required

  • Associate's or Bachelor's degree.
  • 1–3 years of professional experience or relevant      internship experience.
  • Strong analytical skills with exceptional      attention to detail and accuracy.
  • Excellent organizational, time management, and      project coordination skills.
  • Ability to manage multiple priorities and meet      deadlines in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Advanced proficiency in Microsoft Excel and      Microsoft Office (Google Workspace experience is a plus).
  • High level of professionalism, discretion, and      sound judgment.

Preferred

  • Associate's or Bachelor's degree in Business,      Accounting, Finance, or a related field.
  • Experience with accounting software, ERP, InEntertainment,      or financial systems.
  • Knowledge of accounts receivable, accounts      payable, invoicing, or commission processing.
  • Interest in the entertainment, media, or talent      representation industry.
  • Continuous improvement mindset with an interest in      process optimization and operational excellence.
