The Facilities Operations Manager coordinates all facility maintenance activities to ensure safety and continuity of operations.


Essential Functions


  • Administer and monitor the facilities work order and asset management system; track requests, prioritize assignments, and generate reports
  • Coordinate with maintenance staff, supervisors, and external vendors to ensure timely completion of service requests
  • Assist with procurement activities, including purchase requisitions, invoices, contract tracking, and vendor documentation in accordance with government policies
  • Maintain facilities records, including inspections, permits, warranties, licenses, and compliance documentation
  • Track operational budgets, expenditures, and service costs; prepare summaries and reports for leadership
  • Schedule inspections, preventive maintenance activities, and vendor services
  • Support facility readiness for public meetings, elections, special events, and emergency operations
  • Respond to internal service inquiries and provide customer-focused support to departments and the public
  • Assist with capital projects by tracking timelines, documentation, and coordination efforts
  • Prepare correspondence, reports, and presentations for department leadership
  • Ensure adherence to records retention, public records, and transparency requirements


Requirements

Qualifications and Experience


  • Associate’s degree in Business Administration, Public Administration, Facilities Management, or a related field (or equivalent experience)
  • Three (3) years of administrative or operational support experience, preferably in facilities, public works, or a government environment
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and work order or asset management systems
  • Knowledge of basic procurement, budgeting, and recordkeeping practices


Work Conditions


Physical Ability: Tasks require the ability to lift 50 or more pounds, and require use of ladders, tools, and other repair equipment as needed. May require extended crouching or leaning during repair.

Sensory Requirements: Some tasks require the ability to perceive and discriminate visual cues or signals, and to communicate orally and in writing.

Environmental Factors: Essential functions are regularly performed without exposure to adverse environmental conditions.
