We're currently seeking a friendly, detail-oriented, and trustworthy Front Desk & Administrative Specialist to be the welcoming face of our Dallas office and keep day-to-day operations running smoothly. This role is ideal for someone who takes pride in a well-run front office, enjoys interacting with customers and vendors, and is comfortable juggling reception duties alongside broader administrative support. Any experience handling in-office IT support, or helping manage an IT ticketing system, is a plus.


Key Responsibilities

  • Serve as receptionist — greet visitors, answer phones, and direct phone traffic
  • Collect and sort daily mail
  • Keep track of and order office supplies and consumables, ensuring the office is always well-stocked and tidy
  • Assist in booking travel for staff and executives
  • Assist in booking meals and catering for meetings and company events
  • Coordinate with building management on maintenance issues
  • Assist in planning and running company events
  • Assist in monitoring and directing incoming departmental requests
  • Assist in other data collection and reporting, as assigned
  • Assist assigned department with administrative duties, that may include mailing, compliance, scheduling, or other assigned tasks
  • Direct assignments of recurring reporting, such as receivables, collections, POs, etc.
  • Performs other related duties as assigned

Job Requirements

  • High school diploma or equivalent
  • Minimum of five years' experience in administrative or support roles
  • Demonstrated proficiency in Microsoft Office Suite; ability to learn proprietary systems (EMS)
  • Excellent written and verbal communication
  • Strong organizational skills and attention to detail
  • Proven ability to manage sensitive and confidential information with discretion
  • Dependability, flexibility, and professionalism in high-trust, high-responsibility settings
