We are seeking a dependable, organized, and customer-focused Administrative Assistant to join our Denver office. This is a full-time, in-office position and is ideal for someone who enjoys variety, thrives in a fast-paced environment, and takes pride in delivering exceptional service to both clients and coworkers.
Legal experience is not required. We welcome candidates with strong administrative or customer service experience from professional office environments who are eager to learn and grow in the legal field.
Position Summary
The Administrative Assistant plays an important role in the daily operations of our Denver office by serving as the primary backup to our Front Desk Receptionist while providing administrative support to our Mass Tort and Personal Injury Teams, and other departments throughout the firm as business needs require.
In addition to front desk coverage, this position supports the Mass Tort Team by assisting with client communications, maintaining electronic case files, preparing correspondence, and helping ensure case information is accurate and organized. As one of the first people our clients interact with, this position helps create a welcoming, professional experience while ensuring the office operates efficiently.

Essential Responsibilities
- Serve as the primary backup to the Front Desk Receptionist by providing coverage during lunches, breaks, vacations, and other absences.
- Welcome clients and visitors with professionalism, empathy, and outstanding customer service.
- Answer, screen, and direct incoming telephone calls.
- Provide administrative support to the Mass Tort Team, including maintaining electronic case files, organizing documents, and assisting with case-related administrative tasks.
- Assist with client communication by phone and email while providing exceptional customer service.
- Assist with new client intake and preparation of client files and related documentation.
- Prepare, organize, scan, upload, and maintain client files, medical records, and legal documents.
- Draft routine correspondence, new client materials, and other administrative documents.
- Perform accurate data entry and maintain case information within the firm's case management system.
- Process incoming and outgoing mail, deliveries, and office correspondence.
- Set up and maintain conference rooms for meetings and depositions.
- Assist attorneys, legal assistants, and departments throughout the firm as business needs require.
- Assist with special projects and additional administrative responsibilities as assigned.
- Help maintain an organized, professional, and client-focused office environment.
Qualifications
- High school diploma or equivalent required.
- One or more years of administrative, receptionist, legal support, or customer service experience preferred.
- Experience in a law firm, healthcare, insurance, or other professional office is a plus.
- Excellent verbal and written communication skills with strong attention to detail.
- Strong organizational, time management, and multitasking skills.
- Ability to manage competing priorities in a fast-paced environment.
- Proficiency with Microsoft Office, including Outlook, Word, and Excel; experience with case management software is a plus.
- Professional demeanor with exceptional interpersonal and customer service skills.
- Dependable, punctual, and highly detail-oriented.
- Ability to work independently while collaborating effectively with a team.
