We are looking for an Administrative Assistant who combines strong client service skills with the ability to stay organized and responsive in a fast-paced professional environment. In this role, you will serve as an important point of contact for clients, communicate professionally by phone and in person, and help ensure their documents and requests are handled accurately, efficiently, and confidentially.
You will also work across a wide range of accounting, document management, and administrative software to support client service teams and daily office operations. The ideal candidate is comfortable learning new technology, shifting between priorities, and maintaining close attention to detail during high-volume periods.
This seasonal position is based in our Hanover office and is scheduled from September through May to provide additional support during tax season, with an expected schedule of approximately 25 hours per week.
Job Responsibilities
- Provide professional front desk and administrative support, including answering and directing incoming calls, greeting clients, and managing inquiries.
- Maintain and manage firm records, both physical and electronic, including organizing, scanning, archiving, and purging documents.
- Utilize scanning and document management software to process client documents and support electronic workflows.
- Prepare and distribute tax organizers, client correspondence, and other firm communications in print and electronic formats.
- Assemble client deliverables, including tax returns and other documents, for distribution in both paper and digital formats.
- Collect, process, and organize client-submitted documentation while maintaining strict confidentiality standards.
- Assist with the preparation, review, proofreading, and presentation of internal and external correspondence.
- Sort, distribute, and prepare incoming and outgoing mail, packages, certified mail, and deliveries.
- Process internal expense reports, bank deposits, and other administrative documentation as assigned.
- Support client interactions related to document drop-off and pick-up.
- Monitor and replenish office and break room supplies and coordinate orders as needed.
- Assist with special projects and administrative initiatives to support firm operations and client service teams.
- Follow firm procedures related to confidentiality, data security, and compliance.
- Perform additional administrative duties as assigned.
- At least three years of administrative experience in a professional office setting.
- Strong customer service skills and the ability to communicate professionally with clients and employees at all levels.
- Excellent written and verbal communication skills, including a professional phone presence.
- Advanced proficiency in Microsoft Word, Excel, Outlook, Teams, and Adobe PDF tools.
- Ability to quickly learn and navigate new technology, software, and office systems.
- Strong organizational skills and close attention to detail and accuracy.
- Ability to prioritize work, manage frequent interruptions, and handle multiple assignments effectively.
- Ability to work independently and collaborate effectively with a team.
- Sound judgment and discretion when handling confidential information.
