We are seeking a highly organized, proactive, and discreet Executive Assistant to provide comprehensive support to the Executive Partner. This role involves managing both professional and personal tasks, ensuring the efficient operation of daily activities, and helping the Executive manage their time effectively. The ideal candidate will be adaptable, detail-oriented, and capable of handling a variety of responsibilities with a high degree of confidentiality.

Requirements

Key Responsibilities:

Administrative Support:

  • Manage calendars, schedule meetings, and coordinate appointments.
  • Handle correspondence, including emails, calls, and mail, ensuring prompt and appropriate responses.
  • Prepare reports, presentations, and other documents as required.
  • Assist in the organization of meetings, including preparing agendas, and following up on action items.

Personal Errands:

  • Handle personal tasks such as shopping, making reservations, and coordinating travel arrangements.
  • Assist with household management, including coordinating with vendors and service providers.
  • Run errands, such as picking up dry cleaning, groceries, and other items as needed.
  • Manage personal schedules, including medical appointments and social engagements.

Travel Coordination:

  • May need to assist, plan, and coordinate aspects of travel, including flights, accommodations, and transportation.
  • May need to assist in any travel-related issues that may arise, such as last-minute changes or cancellations.

Project Management:

  • Assist in the management of personal and professional projects, ensuring timelines and goals are met.
  • Conduct research and gather information as required for various projects and initiatives.
  • Coordinate with internal and external stakeholders to ensure successful project execution.

Financial Management:

  • Assist with budgeting and expense tracking for personal and household expenses.
  • Process invoices, payments, and other financial transactions as needed.
  • Liaise with accountants, financial advisors, and other professionals to ensure accurate financial management.

Confidentiality and Discretion:

  • Handle sensitive information with the utmost confidentiality.
  • Maintain a high level of discretion in all interactions and tasks.

Work Environment:

This role requires flexibility in work location. The Executive Assistant may be required to work at the Executive Partner’s personal home, at the firm's office, or at various other locations depending on the tasks and responsibilities at hand. The candidate should be comfortable with adapting to different environments and managing tasks across multiple settings.


Qualifications:

  • Proven experience as an Executive Assistant, Personal Assistant, or in a similar role.
  • Exceptional organizational and time-management skills.
  • Strong communication and interpersonal abilities.
  • Ability to manage multiple tasks and prioritize effectively.
  • High level of discretion and confidentiality.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Teams) and other relevant software.
  • Flexibility to work outside standard business hours as needed.
  • Valid driver’s license and access to a reliable vehicle.

Preferred Qualifications:

  • Experience working in Merus and/or Litify.
  • Experience working in a fast-paced corporate environment.
  • Familiarity with financial management and budgeting.
  • Knowledge of travel coordination and logistics.
