The Conservatory for the Performing Arts at Stephens College seeks a detail-oriented, customer-focused student intern to serve as Assistant Box Office Manager. This paid internship provides hands-on experience in arts administration, front-of-house operations, and audience engagement for live theatrical productions. Working closely with the Box Office Manager, the Assistant Box Office Manager supports ticketing, concessions, patron services, playbill preparation, and financial tracking while helping create a welcoming and efficient experience for audiences.
Learning Outcomes
This internship provides professional experience in arts administration, ticketing systems, front-of-house operations, customer service, financial tracking, and audience engagement within a collegiate performing arts setting. Students will develop leadership, communication, organizational, and problem-solving skills while working alongside the Box Office Manager and Conservatory faculty and staff to support a successful season of productions.
Essential Duties & Responsibilities:
Ticketing & Patron Services
- Assist with ticket sales through Eventbrite, including event setup, sales tracking, and reporting
- Handle phone and in-person ticket sales during scheduled box office hours
- Assist patrons with ticket purchases, seating, accessibility, and performance information
- Help resolve ticketing questions and patron concerns in a professional manner
- Support will-call procedures and performance-day ticket distribution
Box Office & Lobby Operations
- Assist in maintaining a clean, organized, and welcoming box office and lobby
- Help prepare lobby signage, displays, and photo backdrops when applicable
- Assist with performance-day setup and breakdown of lobby spaces
- Support the Box Office Manager in coordinating lobby operations during performances
- Welcome and assist patrons before, during, and after performances
Concessions
- Assist with purchasing, setup, operation, and breakdown of concession areas
- Help maintain concession inventory and restock supplies as needed
- Track concession sales and assist with inventory records
- Maintain concession revenue spreadsheets under the supervision of the Box Office Manager
Playbill & Materials Preparation
- Assist in creating playbill layouts using Canva
- Prepare and proof production inserts, including cast, crew, creative team, and production information
- Help ensure printed materials are accurate and prepared on schedule
Financial Tracking & Reporting
- Assist in maintaining ticket sales and attendance records
- Help track concession revenue and inventory
- Participate in post-performance accounting and reconciliation of ticket and concession sales
- Follow Conservatory procedures for handling and securing funds
- Assist in preparing reports as requested by the Box Office Manager or Dean
Performance Weekend Responsibilities
- Assist in preparing the box office, lobby, and concession areas prior to performances
- Be present during performances to provide patron support and assist with box office operations
- Assist with opening and closing procedures, including securing the lobby and theater
- Arrive by 9:30 a.m. for 11:00 a.m. matinees on two-show days
- Arrive by approximately 12:30 p.m. for 2:00 p.m. matinees
- Arrive by 6:00 p.m. for 7:30 p.m. performances
- Assist with sales reconciliation, straightening the lobby and theater seating, and closing procedures following performances
- Serve as the primary box office representative when assigned by the Box Office Manager
Hours of Work
Regular box office hours are approximately 2 hours per afternoon, 4 days per week. Required hours during performance weekends, including evenings and occasional extended days.
- Strong organizational and administrative skills
- Excellent customer service and interpersonal communication abilities
- Comfort handling cash and maintaining accurate financial records
- Experience with or willingness to learn Eventbrite, Canva, and spreadsheet software (Excel or Google Sheets)
- Ability to manage multiple responsibilities in a fast-paced live performance environment
- Availability for evening and weekend work during production periods
- Ability to work collaboratively as part of a student leadership team
