Job Summary:
The Front Desk Patient Service Representative serves as the first point of contact for patients and visitors at our healthcare facility, providing exceptional customer service and support. The ideal candidate will possess strong organizational and communication skills, with a friendly and professional demeanor. You will play a key role in ensuring a positive patient experience by facilitating smooth operations and addressing patient needs promptly.
Key Responsibilities:
- Greet patients and visitors in a warm, professional manner, maintaining eye contact and providing exceptional customer service upon arrival.
- Demonstrate professionalism, courtesy, and respect in all interactions with patients, providers, and colleagues.
- Accurately manage patient check-in procedures, appointment scheduling, and demographic verification.
- Collect copayments and process financial transactions in an accurate and timely manner.
- Maintain strict compliance with HIPAA regulations and safeguard the confidentiality of patient information.
- Communicate appointment delays promptly and address patient concerns with professionalism and empathy.
- Schedule, coordinate, and confirm follow-up appointments as directed.
- Answer incoming telephone calls promptly and route inquiries to the appropriate department or staff member.
- Maintain a clean, organized, and professional front office environment, ensuring adequate inventory of office supplies.
- Adhere to all organizational policies, procedures, and workplace safety standards.
- Verify insurance eligibility and manage incoming fax communications on assigned days (Wednesdays and Thursdays).
- Support daily front office operations and perform additional administrative duties as assigned to ensure efficient clinic workflow.
Qualifications:
- Minimum of one (1) year of experience in a receptionist, front desk, or patient services role, preferably within a healthcare or medical practice setting.
- Bilingual proficiency in English and Spanish required.
- Strong telephone communication skills, including the ability to professionally manage high call volumes and multiple phone lines.
- Excellent organizational, time management, and attention-to-detail skills.
- Ability to effectively prioritize tasks and multitask in a fast-paced environment.
- Demonstrated reliability, professionalism, and consistent attendance.
- Experience working with electronic health record (EHR) systems required; experience with Practice Fusion is preferred.
- Strong interpersonal and customer service skills with a commitment to providing an exceptional patient experience.
