Role Overview

Bumble Bee Foods, a leader in the Consumer-Packaged Goods (CPG) industry, is seeking a dynamic and detail-oriented professional to serve as the Executive Assistant to the CEO. This highly visible role combines three important areas of responsibility: CEO executive support, office management, and workplace experience leadership. The role is responsible for providing executive-level administrative support while overseeing the day-to-day operations of the San Diego headquarters office and helping create a productive, professional, and welcoming workplace environment. The successful candidate will act as a strategic business partner to the CEO and senior leaders, helping drive organizational effectiveness, executive alignment, and execution of key business priorities. This individual will play a critical role in managing executive priorities, coordinating board and leadership activities, facilitating communication across the organization, and ensuring the headquarters office operates smoothly and effectively. The ideal candidate demonstrates exceptional judgment, discretion, adaptability, and the ability to anticipate needs and solve problems in a fast-paced business environment. This position is primarily onsite at the San Diego headquarters, with flexibility required based on executive and business needs. This role reports day-to-day to the Director of Human Resources and works directly with the CEO, serving as a key partner to the Executive Leadership Team.



Key Responsibilities


Executive Support to the CEO

· Manage the CEO's complex calendar, meetings, travel, and priorities while proactively resolving conflicts, balancing competing demands, and ensuring seamless coordination across business and other commitments.

· Coordinate complex domestic and international travel arrangements, multi-country itineraries, accommodations, ground transportation, time-zone considerations, contingency planning, and detailed travel itineraries.

· Anticipate executive needs, monitor key commitments, and help ensure follow-through on critical priorities before challenges arise.

· Serve as a trusted liaison between the CEO, Executive Leadership Team, Board of Directors, employees, customers, investors, and external business partners.

· Serve as a trusted extension of the CEO's office, helping prioritize competing demands, maintain alignment on critical initiatives, and support execution of key business priorities.

· Manage confidential communications, correspondence, reports, presentations, and other executive materials with a high degree of professionalism and discretion.

· Coordinate Executive Leadership Team meetings, leadership off-sites, strategic planning sessions, and company-wide meetings.

· Represent the CEO in meetings and interactions as appropriate, effectively communicating priorities and ensuring follow-through on commitments. 

· Exercise sound judgment, discretion, and professionalism in handling sensitive communications, confidential materials, and time-critical executive matters.

· Serve as a primary point of contact for board members regarding meeting logistics, travel arrangements, and administrative support.

· Provide highly responsive support to executive priorities, including coordination across multiple time zones and occasional schedule flexibility required to support global business operations.

· Support special projects and administrative initiatives on behalf of the CEO and Executive Leadership Team, helping advance organizational effectiveness and execution of key priorities.

· Coordinate across Bumble Bee's global footprint, including international teams and stakeholders in multiple time zones.

· Perform other duties and special assignments as needed.


Office Management & Workplace Operations

· Serve as the primary point of contact for office operations, facilities management, vendors, and workplace-related services.

· Oversee office maintenance, equipment, supplies, inventory, and vendor relationships to ensure efficient daily operations.

· Coordinate interactions with building management, security services, maintenance providers, and other external service partners.

· Manage office budgets, invoices, purchase orders, contracts, and administrative expenses as assigned.

· Ensure a professional, organized, and welcoming office environment for employees, customers, board members, and visitors.

· Champion a positive workplace culture by supporting employee engagement activities and fostering a welcoming, inclusive office environment.

· Coordinate executive visits, customer meetings, leadership gatherings, and other hosted events at headquarters.

· Plan and execute employee events, company meetings, celebrations, and culture-building activities.

· Support employee onboarding by coordinating workspace setup, office orientation, and related workplace resources.

· Maintain office policies, procedures, and operational practices that support a productive and compliant workplace.

· Coordinate office access, security protocols, emergency preparedness efforts, and facility-related projects.

· Respond to urgent operational issues and business needs, exercising sound judgment and problem-solving skills.

· Partner with Human Resources, Finance, IT, and other departments to support organizational initiatives and operational needs.

· Assist with company communications, town halls, leadership presentations, and executive events.

· Identify opportunities to improve administrative processes, office procedures, and operational efficiency.

Qualifications, Skills & Education

  • Bachelor’s degree in business      administration or a related field. 
  • 5-10 years of progressively responsible executive support experience, including direct support of a CEO, President, Founder, or other senior C-suite executive; consumer products or manufacturing experience preferred. 
  • Experience supporting global organizations or coordinating across multiple time zones preferred. 
  • Demonstrated experience coordinating executive meetings, leadership off-sites, board meetings, or corporate events preferred.
  • Demonstrated success in supporting C-suite executives and managing complex priorities. 
  • Demonstrated ability to operate independently, exercise sound judgment, and manage sensitive, time-critical matters with minimal direction.
  • Exceptional organizational and multitasking skills with a focus on prioritization.
  • Excellent communication skills, both written and verbal.
  • High level of discretion and professionalism in managing confidential matters. 
  • Advanced proficiency with Microsoft 365 applications, including Outlook, Teams, PowerPoint, Excel, Word, Concur for travel and expense management, and collaboration technologies.
  • Strong interpersonal skills for collaboration and stakeholder engagement.

COMPENSATION & BENEFITS

The compensation for this role includes base salary and eligibility for an annual bonus based on company performance. All incentive plans are subject to change.


The pay range for this role is $85,000 - $100,000 annually.

*Compensation will match the level of knowledge, education, skills, and experience applicable to the position.
