Description

 Linxx Global Solutions is seeking an experienced Administrative & Program Coordinator to provide administrative and operational support for our employees, programs, and management team.

This position coordinates employee-related processes throughout the employment lifecycle—from recruiting and onboarding through qualification tracking, payroll support, ongoing employment changes, and separation. The coordinator serves as a central administrative point of contact among employees, site leadership and Linxx management.

The successful candidate will take ownership of routine administrative workflows, track matters through completion, and recognize when an issue requires management involvement or escalation

Requirements

 

Recruiting and Onboarding

  • Review applications and resumes for minimum position qualifications.
  • Coordinate interviews, hiring documentation, and pre-employment requirements.
  • Track background investigations, drug screenings, medical examinations, licenses, permits, and other employment prerequisites.
  • Coordinate onboarding activities and verify that required documentation is completed before employees begin work.
  • Maintain accurate candidate and hiring-status trackers.
  • Support employee transfers, promotions, status changes, and separations.

Licensing and Compliance

  • Maintain records of employee licenses, certifications, permits, training, and qualification requirements.
  • Monitor expiration dates and provide advance notice of upcoming renewals.
  • Support compliance with company, contractual, customer, state licensing, and regulatory requirements.
  • Assist with BSIS and other company or employee licensing documentation.
  • Maintain organized personnel and compliance records.
  • Help prepare documentation for audits, management reviews, and customer requests.

Payroll, Timekeeping, and Benefits Support

  • Monitor timecard completion and follow up on missing punches, corrections, and approvals.
  • Coordinate payroll questions and corrections with employees, site leadership, and payroll personnel.
  • Assist employees with routine payroll, benefits, and leave questions, routing specialized matters to the appropriate department.
  • Track personnel actions affecting payroll, benefits, or employment status.
  • Collect and organize payroll, timekeeping, and labor-related reports.

Program and Employee Support

  • Serve as an administrative point of contact for employees and site leadership.
  • Track employee inquiries and administrative actions through resolution.
  • Collect, review, and organize weekly site reports and other recurring program submissions.
  • Maintain staffing, billet, training, equipment, and qualification trackers.
  • Assist with employee communications, memoranda, acknowledgments, and required notices.
  • Coordinate administrative support for meetings, travel, training, and other program activities.

Uniforms, Equipment, and Logistics

  • Coordinate the ordering, issuance, replacement, and tracking of employee uniforms and equipment.
  • Maintain inventory and employee-issued equipment records.
  • Work with vendors and internal personnel to resolve ordering, shipping, and delivery issues.
  • Assist with expense reports, receipts, purchasing documentation, and reconciliation support.
  • Coordinate shipping and logistical support for geographically dispersed work locations.

Office and Management Support

  • Maintain organized electronic and physical records.
  • Prepare correspondence, reports, spreadsheets, presentations, and meeting materials.
  • Track deadlines, recurring requirements, action items, and management follow-ups.
  • Assist with office, facility, supply, and vendor coordination.
  • Provide administrative support to the General Manager and program leadership.
  • Coordinate with HR, Finance, Contracts, Payroll, and other RMGS departments while respecting their specialized responsibilities.
  • Perform other related duties as assigned.
