1. Plan, develop and direct the Medical Records services of the hospital to ensure the records are complete, accurate, comprehensive and reflect sound legally acceptable documentation practices. This includes supervision of deficiency analysis, data integrity, and release of information.
2. Knowledge of compliance regulations for Federal and Missouri requirements including HIDI, Medicare, Medicaid, and state cancer registry and others, as necessary.
3. Supervision of the work of Medical Record Department employees, as well as developing and conducting departmental Quality Improvement projects and compliance audits as needed.
4. Be familiar with all medical record procedures and assist department employees as needed, performing routine duties of medical records as required by absenteeism or other factors.
5. Maintain employee work schedules, payroll sheets and other personnel duties as needed, including employee evaluations.
6. Develop and maintain policies and procedures for the department.
7. Serve on the Corporate Compliance Committee and attend Medical Staff Meetings.
8. Other duties as assigned by the Administrator.
PHYSICAL DEMANDS:
Must be able to perform the physical demands of the job when needed, regarding filing charts, lifting heavy bulky files, bending, and reaching shelf files. Sitting for prolonged periods of time is necessary for coding/transcription/clerical portion of the job.
BASIC HOURS:
8:00 a.m. to 4:00 p.m. Monday through Friday with 15-minute breaks morning and afternoon, and ½ hour lunch break. Occasional early and late hours are necessary to attend meetings.
QUALIFICATIONS:
1. RHIT/RHIA, to maintain either standing within the American Health Information Management Association the individual must complete the requirements for continuing education and maintain the credential.
2. Previous experience in Medical Records is desirable.
3. Excellent communication skills are necessary, both written and verbal. Must be able to deal with the general public, physicians, and hospital staff.
4. Good office equipment, copiers, fax, printers, etc., and computer skills are needed.
5. Must be trustworthy and dependable, with strict maintenance of confidentiality regarding patient and hospital information required.
6. Must be well groomed and present a professional demeanor.
COMPETENCIES:
1. Thorough understanding of the documentation and legal requirements of the medical record by governing agencies such as the State of Missouri, and Medicare regulations.
2. Thorough working knowledge of all functions of the Medical Records Department, including chart assembly, deficiency analysis, data integrity, filing and retrieval of charts, release of information and good general office skills.
3. Excellent communication skills are necessary, both written and verbal. Must be able to deal with the general public, physicians and hospital staff and maintain a professional demeanor.
4. Must be trustworthy and dependable. Understand and adhere to patient privacy/confidentiality rules and sign a Confidentiality Statement.
5. Maintain professional credentials and stay current with industry changes.
