The HVAC & Plumbing Estimator / Project Manager plays a critical role in both the preconstruction and project execution phases of residential and light commercial projects. This position is responsible for developing accurate project estimates, preparing proposals, coordinating project handoff, managing awarded projects, and ensuring successful completion of work within budget, schedule, and quality expectations. The role serves as the primary link between sales, operations, field personnel, subcontractors, vendors, builders, and homeowners to ensure a seamless customer experience from initial estimate through project closeout.
Essential Functions
The essential functions include, but are not limited to the following:
Estimating & Preconstruction
- Prepare detailed HVAC and plumbing estimates based on plans, specifications, site visits, and customer requirements.
- Perform quantity takeoffs and scope analysis for residential custom homes, remodels, and light commercial projects.
- Review construction documents and identify scope gaps, conflicts, inconsistencies, and potential cost risks.
- Develop complete project budgets including labor, materials, equipment, subcontractors, permits, and contingencies.
- Obtain vendor and subcontractor pricing and maintain current cost databases.
- Prepare accurate proposals and supporting documentation for clients, builders, and internal review.
- Participate in project review meetings and collaborate with sales personnel to secure awarded work.
- Assist with value engineering and cost-saving recommendations when appropriate.
- Maintain estimating records and historical cost information for future use.
Project Management
- Lead project turnover meetings and coordinate a smooth transition from estimating to operations.
- Develop project schedules and monitor progress throughout all phases of construction.
- Coordinate manpower, material procurement, equipment deliveries, and subcontractor activities.
- Act as a point of contact for builders, homeowners, architects, and project stakeholders.
- Conduct site visits to monitor progress, quality, safety, and adherence to project requirements.
- Review and manage project budgets, costs, and profitability throughout construction.
- Identify and resolve project issues, delays, change orders, and field conflicts.
- Track and process project documentation including RFIs, submittals, permits, change orders, and closeout packages.
- Facilitate communication between office staff, field personnel, and customers.
- Ensure projects are completed on schedule, within budget, and to company quality standards.
Customer & Team Collaboration
- Maintain excellent customer relationships through proactive communication and responsiveness.
- Attend builder meetings, jobsite meetings, and project coordination meetings as required.
- Support field teams by providing clear project documentation and expectations.
- Collaborate closely with service, installation, sheet metal, plumbing, electrical, and operations departments.
- Uphold company values and maintain a professional image at all times.
Administrative Responsibilities
- Maintain accurate project files and documentation.
- Update project status information within company software systems.
- Prepare project reports, forecasts, and cost analyses as requested.
- Support billing processes by reviewing project progress and approving invoices when appropriate.
- Assist with project closeout, warranty documentation, and turnover materials.
Minimum Qualifications
- 3–7 years of experience in HVAC, plumbing, mechanical construction, estimating, project management, or a related field.
- Strong understanding of residential and light commercial HVAC and plumbing systems.
- Ability to read and interpret construction drawings, specifications, and contracts.
- Experience preparing estimates and managing project budgets.
- Strong organizational, leadership, and communication skills.
- Ability to manage multiple projects simultaneously in a fast-paced environment.
- Proficiency with Microsoft Office Suite and estimating/project management software.
- Valid driver’s license and acceptable driving record.
Preferred Qualifications
- Associate’s or Bachelor’s degree in Construction Management, Engineering, or a related field.
- Experience with custom home construction and high-end residential projects.
- Knowledge of local permitting requirements and construction practices.
- Experience with Payzer, ServiceTitan, Buildertrend, or similar construction management platforms.
