POSITION SUMMARY
The Executive Assistant to the President is a highly trusted member of the Office of the President who provides exceptional executive, administrative, organizational, and project support to the President of Greater Atlanta Christian School.
More than managing schedules and logistics, the Executive Assistant helps maximize the President’s effectiveness by anticipating needs, managing priorities, facilitating communication, coordinating important initiatives, and ensuring consistent follow-through. The Executive Assistant serves as a key liaison among the President, Board of Trustees, senior leadership, faculty and staff, parents, donors, and external partners.
The successful candidate will demonstrate exceptional judgment, discretion, initiative, organization, communication, and attention to detail while representing the President and GAC with warmth, professionalism, and a deep commitment to the school’s Christian mission.
ESSENTIAL FUNCTION
Executive & Strategic Support
- Manage and maintain the President’s complex and dynamic calendar, strategically prioritizing meetings, travel, school events, and other commitments.
- Anticipate the President’s needs and proactively prepare information, materials, schedules, and logistics necessary for meetings, travel, and events.
- Draft, edit, and proofread correspondence, reports, presentations, and other communications on behalf of the President, with the ability to appropriately reflect the President’s voice and GAC’s mission and culture.
- Maintain and retrieve historical records and archived information to provide appropriate context regarding prior decisions and initiatives.
- Conduct research and prepare background materials to support decision-making.
- Assist with the preparation of speeches, presentations, and other public-facing materials.
- Organize and prioritize incoming communications (emails, phone calls, letters), and ensure timely responses or appropriate delegation.
Relationship Management
- Serve as a professional and welcoming point of contact for individuals seeking access to the President and the Office of the President.
- Build and maintain strong relationships with faculty and staff, senior leaders, Board members, parents, donors, alumni, community leaders, and external partners.
- Exercise sound judgment in determining priorities, routing requests, resolving issues, and determining when matters require the President’s direct attention.
- Represent the President and GAC with professionalism, warmth, responsiveness, and discretion.
- Assist in preparing communications, presentations, reports, and other materials for internal and external audiences.
Board & Governance Support
- Serve as the primary administrative liaison between the President and the Board of Trustees.
- Coordinate Board, committee, retreat, and other governance-related meetings in partnership with the President and Board leadership.
- Prepare and organize agendas, Board materials, presentations, reports, minutes, and other governance documents.
- Maintain Board records, calendars, rosters, and other relevant governance information.
- Track Board-related commitments, decisions, and follow-up items to ensure timely completion.
- Coordinate communication and logistics with Trustees, Foundation Directors, Advisory Members, and other key stakeholders as appropriate.
Project & Strategic Support
- Coordinate and support key projects and strategic initiatives led by the President, ensuring clear timelines, responsibilities, and follow-through.
- Track priorities, commitments, milestones, and action items and proactively identify areas requiring attention.
- Collaborate across departments and committees to gather information and advance initiatives that span multiple areas of the school.
- Support the school’s strategic planning process through information gathering, documentation, communication, meeting coordination, and progress tracking.
- Coordinate the collection, analysis, and presentation of key institutional data and annual statistics, including materials prepared for the Board.
- Provide the President with timely updates regarding project status, outstanding decisions, deadlines, and emerging issues.
Meetings, Events & Special Initiatives
- Organize events, conferences, meetings, retreats, and other gatherings hosted by the President, ensuring logistics are handled efficiently and with excellence.
- Provide support for Board events, donor gatherings, fundraising activities, and other significant school functions as required.
- Collaborate effectively across departments to coordinate work involving the Office of the President.
- Model and reinforce a strong sense of teamwork and collaboration.
QUALIFICATIONS
- A growing and mature personal relationship with Jesus Christ and demonstrated commitment to Christian faith and practice.
- Strong alignment with GAC’s Statement of Faith, Community Covenant, mission, values, and educational philosophy.
- Five or more years of progressively responsible experience in executive support, administration, project management, or a comparable professional role preferred.
- Excellent organizational and time-management skills, with demonstrated ability to manage multiple priorities and complex schedules.
- Exceptional written and verbal communication skills, including strong editing and proofreading ability.
- Strong interpersonal skills and ability to build relationships across a broad range of internal and external stakeholders.
- Uncompromising commitment to confidentiality, integrity, professionalism, and discretion.
- Strong judgment, initiative, and problem-solving skills, including the ability to anticipate needs and appropriately handle complex or ambiguous situations.
- Exceptional attention to detail combined with an ability to understand broader organizational priorities.
- Ability to work independently and collaboratively in a fast-paced environment with frequently shifting priorities.
KNOWLEDGE, SKILLS, & CAPABILITIES
- Advanced proficiency with Microsoft 365, including Outlook, Word, Excel, PowerPoint, and related productivity tools.
- Strong proficiency with Apple/Mac platforms and Adobe Acrobat.
- Experience with digital document management, version control, shared files, and collaborative work platforms.
- Strong general technology aptitude and ability to quickly learn new systems and applications.
- Comfort appropriately utilizing emerging productivity and AI-enabled tools to improve efficiency, communication, research, and organization while maintaining appropriate standards for confidentiality and data security.
- Experience with data analysis, reporting, project management systems, or Board management platforms is a plus.
WORKING CONDITIONS
This is a full-time, 12-month, exempt position. The Executive Assistant will generally work during regular school and business hours, with flexibility required for occasional early morning, evening, or weekend meetings, Board activities, special events, and other responsibilities associated with the Office of the President.
