Overview


The Project Coordinator supports the Grants team by coordinating project workflows, maintaining quality and accuracy, and ensuring deliverables are completed on time. This role is responsible for bringing structure to complex projects, managing multiple priorities, and proactively identifying issues or missing information before they impact a deadline. The ideal candidate is highly organized, detail-oriented, resourceful, and takes pride in producing polished, accurate work.


Key Responsibilities

  • Coordinate project workflows, timelines, deliverables, and priorities across multiple grant engagements.
  • Prepare, format, and organize grant proposals, reports, and other client-facing materials.
  • Perform detailed quality control (QC) of deliverables to ensure materials are accurate, complete, consistent, polished, and submission ready.
  • Manage document formatting, including headers, footers, templates, and other submission requirements.
  • Utilize Adobe and Microsoft Office to edit, format, organize, and prepare professional materials.
  • Track project requirements, deadlines, open questions, and next steps to keep projects moving forward.
  • Proactively identify missing information, potential issues, and process gaps and ask the right questions early.
  • Organize project materials and information across multiple concurrent engagements.
  • Partner with Consultants and project leaders to coordinate deliverables and ensure deadlines are met.
  • Contribute to process improvements that increase efficiency, consistency, and quality across the Grants team.
Requirements


Required Qualifications

  • Bachelor’s degree.
  • 1+ years of experience in project coordination, operations, professional services, consulting, grants, or a related field.
  • Strong organizational skills and exceptional attention to detail.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities, deadlines, and projects while maintaining a high level of accuracy.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Experience using Adobe Acrobat or similar document-management tools.
  • Demonstrated ability to take initiative, identify potential issues, and proactively seek solutions. 

Preferred Qualifications

  • Experience supporting projects in a consulting, professional services, healthcare, nonprofit, or grant-related environment.
  • Experience with quality control, document production, or deadline-driven deliverables.
  • Experience coordinating multiple projects or workstreams simultaneously.
  • Familiarity with grant proposals, applications, reporting requirements, or other funding-related processes.
  • Experience working with grant submission and management platforms such as Grants.gov, SAM.gov, eRA Commons, Research.gov, GrantSolutions, or similar federal, state, or private grant systems.
