Position Summary

To continue delivering best-in-class seedlings and innovative agricultural solutions to field growers, we are seeking a Maintenance Administrator.

The Maintenance Administrator manages departmental information and maintains accurate records related to equipment service and repairs, equipment transfers, work orders, and maintenance and shop budgets and estimates. This position independently maintains records of vehicles, replacement parts, materials, tools, and consumable supplies.

The Maintenance Administrator partners with the Accounting and Purchasing departments to ensure that parts, materials, tools, and consumables are accurately recorded in inventory and properly accounted for during routine maintenance and repair activities. In coordination with the Shop and Maintenance Managers, this position also provides guidance and supervises the accuracy and quality of work-order documentation.

Duties and Responsibilities

  • Administer and oversee the creation, follow-up, and completion of work orders. 
  • Guide technicians /mechanics in maintaining accurate records for assigned work orders. 
  • Coordinate repairs and preventive maintenance schedules to support fleet availability and operational requirements. 
  • Support and partner with the MRO Buyer in preparing, submitting, and administering purchase order requests. 
  • Organize and account for replacement parts for the facility’s shop. 
  • Provide accurate and timely information in response to accounting department inquiries. 
  • Develop and administer an effective tool check-in and check-out system. 
  • Provide the Shop Manager and Maintenance Manager with regular updates on work-order status. 
  • Partner with the Safety, Accounting, and Human Resources departments to maintain compliance records for rolling stock, including trucks, tractors, and other vehicles. 
  • Coordinate registration renewals, smog inspections, governmental filings, depreciation schedules, and other regulatory requirements related to the company’s fleet. 
  • Coordinate with the Safety and Logistics Manager and Shop Manager to maintain accurate DOT compliance records, including 90-day inspection documentation. 
  • Participate in and conduct periodic inventories of equipment, tools, parts, and supplies. 
  • Coordinate equipment rentals. 
  • Perform other duties as assigned. 


Requirements
  • High school diploma or equivalent. 
  • Basic understanding of automobiles, trucks, and heavy agricultural equipment. 
  • Three to five years of related experience. 
  • Experience using maintenance and repair data-management systems. 
  • Basic proficiency with Microsoft Office, including Word, Excel, and PowerPoint. 
  • Bilingual proficiency in English and Spanish preferred. 
  • Strong interpersonal, verbal, and written communication skills, with the ability to communicate information and ideas clearly and effectively across organizational levels. 
  • Strong organizational skills and the ability to manage multiple priorities while maintaining accuracy and attention to detail. 
  • Valid California driver’s license and continued eligibility for coverage under the company’s vehicle insurance policy.

$72,000 - $76,000 BOE
