Rental Service Administrator
Description

The Rental Service Administrator is responsible for coordinating the daily administrative activities of the Rental Service operation, ensuring work orders, scheduling, and customer communication run smoothly by performing the following duties.


WHAT YOU'LL DO

Maintain a high level of customer satisfaction

Open, schedule, and close work orders for rental service and repairs

Track and record technicians' time against work orders

Serve as a point of contact for technicians on scheduling and work order questions

Coordinate scheduling and dispatch information for field technicians

Track and maintain warranty documentation on rental engines, machines, and other equipment

Demonstrate a positive and professional demeanor, flexibility, and effective communication skills in interactions both internally and externally

Support service department operations by ensuring accurate, timely administrative processing

Assist in the overall coordination and tracking of rental service activity

Communicate effectively with customers and internal teams regarding job status and updates

Prepare quotes and ensure work orders are closed out in a timely manner

Help ensure compliance with all safety and environmental requirements through accurate documentation

Requirements

WHAT YOU'LL NEED

1-3 years of administrative, clerical, or service coordination experience preferred

Ability to read, analyze, and interpret documents, procedures, and schematics

Ability to write routine reports and correspondence

Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form

Basic math abilities including addition, subtraction, multiplication, and division

Ability to calculate figures and amounts such as percentages and discounts

Ability to review summary figures and identify trends relevant to areas of responsibility

Familiarity with budgeting or cost tracking helpful but not required

Availability to work regular business hours; occasional weekend, holiday, or evening work may be required to meet job deadlines

Tolerance for performing detailed tasks with numerous interruptions
