Overview:


The Construction Administrator provides administrative and coordination support across project teams, with a primary focus on site-based team members. This role maintains accurate project documentation, tracks project requirements, and supports effective communication and coordination between the field, office, and other project stakeholders.

The role helps reduce project risk, maintain compliance, and keep project information organized and accessible from project setup through closeout.

Responsibilities


Project Coordination & Setup

  • Organize and maintain project documentation and logs in support of project and site teams.
  • Assist with project setup, including folder structure, templates, and document organization.
  • Coordinate schedules, meetings, and communication among team members, subcontractors, and internal stakeholders.
  • Assist in preparing and tracking Owner and Subcontractor Change Orders throughout the project.

Documentation & Submittals

  • Assist with processing and organizing submittals for approval.
  • Create and maintain submittal logs and track submittal status.
  • Support subcontractor onboarding and assist in preparing subcontract and purchase order packages.
  • Help track buyout progress and ensure required documentation is collected.

Quality, Compliance & Safety

  • Track compliance documentation, including Certificates of Insurance (COIs), permits, and vendor requirements.
  • Assist with preparing and maintaining project compliance records.
  • Support project teams with completion lists, punch list documentation, and tracking through project closeout.
  • Ensure project documentation is accurate, complete, and audit-ready.

Communication & Reporting

  • Serve as a point of contact for project-related documentation and coordination inquiries.
  • Compile and distribute project updates, reports, and supporting documentation.
  • Participate in and document project meetings, including capturing notes and action items, as requested.
  • Provide proactive updates on pending items, deadlines, and required follow-ups.

Administrative Support:

  • Maintain organized project files and records across all phases of the project.
  • Support the project team with administrative tasks such as data entry, document uploads, and scheduling.
  • Assist in preparing project documentation and client-facing materials as needed.
  • Maintain accurate logs, trackers, and reporting tools to support project visibility.

Qualifications & Experience

  • High school diploma required; Associate or Bachelor’s degree in Construction Management or Engineering, or a related field, or equivalent experience.
  • At least 1 year of construction administration or project coordination experience is preferred.
  • Construction field exposure or internship experience may be considered, provided the candidate demonstrates the required skills for the position.

Skills & Competencies

  • Strong organizational skills with the ability to manage multiple priorities, and deadlines.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and/or Google Workspace.
  • Ability and willingness to learn construction management platforms such as RedTeam, Procore, or similar systems.
  • Clear written and verbal communication skills with the ability to coordinate effectively across teams.
  • Strong attention to detail with a commitment to accuracy, dependability, and follow-through.
  • Ability to identify issues, adapt to changing priorities, and take initiative in a fast-paced environment.
  • Collaborative approach with an interest in learning and growing within construction operations.

  • Fine motor skills: Regular use of hands for tasks like typing, using a mouse, and handling documents.
