Position: Staffing Coordinator (Bilingual Preferred)
Pay Range: $23.00-$25.00 per hour
Employment Type: Full-time, 40 hours per week
Schedule: Monday-Friday, 8-hour shifts; occasional overtime as needed
Location: Wichita, KS - primarily in person, with hybrid in-office/remote work available based on business needs and performance
On-Call: Required; weekend and overnight rotation
Travel: Occasional local field work, patient or caregiver visits, and community outreach as needed

Position Summary
The Staffing Coordinator owns the staffing experience for an assigned patient caseload. This is a highly solution-oriented client relationship management role: each patient is assigned to a coordinator who is responsible for securing a capable caregiver match, maintaining continuity of care, utilizing authorized service hours, and guiding relationships toward positive outcomes.
The Coordinator balances urgency with empathy in a fast-paced environment, manages human behavior and expectations with professionalism, and partners across Staffing, Advocacy, Human Resources, Clinical, and Operations teams to resolve barriers before they disrupt care. Success requires disciplined follow-through, excellent judgment, detailed documentation, and a genuine commitment to Impact Home Health’s mission and values.
Essential Responsibilities
Patient Ownership, Staffing & Utilization
· Serve as the primary staffing owner and relationship manager for an assigned patient caseload from start of care through ongoing service.
· Assess patient needs, schedules, preferences, personalities, language needs, and care requirements to identify thoughtful caregiver matches.
· Staff and maintain authorized hours, proactively addressing unfilled shifts, schedule changes, call-offs, and continuity-of-care risks.
· Monitor utilization and develop practical recovery plans to maximize the appropriate use of each patient’s authorized hours.
· Maintain agency performance expectations for authorized-hour utilization, new-patient start-of-care staffing, and timely response to staffing barriers.
Relationship Management & Solutions
· Build trusted, respectful relationships with patients, families, caregivers, referral partners, and internal teammates.
· Listen actively, identify the root cause of service concerns, and coordinate clear, timely solutions that protect the patient experience.
· Navigate sensitive interpersonal dynamics with sound judgment, confidentiality, empathy, and firm follow-through.
· Recognize caregiver contributions and communicate appreciation, while setting clear expectations for reliability, professionalism, and patient-centered care.
· Escalate concerns appropriately and participate in coaching, corrective action, recognition, or disciplinary processes in partnership with Human Resources and leadership.
Cross-Departmental Collaboration & Operations
· Partner closely with Advocate Caregivers, HR, Clinical, Intake, Payroll, and Operations to align patient needs, caregiver availability, compliance requirements, and service plans.
· Document staffing actions, relationship notes, availability, utilization activity, and follow-up commitments accurately and promptly in agency systems.
· Participate in on-call rotation and respond to after-hours inquiries according to agency response standards.
· Complete occasional field work when it will strengthen a caregiver match, resolve a concern, support a patient, or advance agency operations.
Qualifications
· Three or more years of customer service, scheduling, staffing, case management, client relationship management, or related experience.
· Demonstrated ability to manage multiple priorities, solve problems independently, and remain organized under time-sensitive conditions.
· Strong written and verbal communication skills; bilingual communication skills are preferred.
· Comfort using multi-line phone systems, scheduling platforms, Microsoft Teams, Excel, and electronic documentation systems.
· Ability to type at least 40 words per minute; experience in home health, medical office operations, AlayaCare, or AuthentiCare is preferred.

Performance is evaluated on fulfillment of job responsibilities, demonstrated alignment with Impact Home Health values, quality and timeliness of work, collaboration, and positive outcomes. Reviews occur at 90 days, six months, and annually thereafter.
