Intake and Access Coordinator (Full Time)


Autism Treatment Center (ATC) is seeking an experienced, highly responsive Intake & Access Coordinator to serve as the centralized point of contact for families seeking outpatient therapy services across our Dallas, Fort Worth, and San Antonio locations.

This is a critical referral-to-revenue position responsible for moving families efficiently from initial inquiry through assessment and the start of treatment while providing exceptional, white-glove service throughout the process.

Key Responsibilities

  • Respond promptly to new referrals and family inquiries
  • Verify insurance eligibility and benefits
  • Coordinate and schedule tours, assessments, and initial appointments
  • Obtain insurance authorizations for assessment and ongoing treatment
  • Maintain consistent communication with families throughout the intake process
  • Manage the referral pipeline across ABA, Speech Therapy (ST), and Occupational Therapy (OT)
  • Track and report key pipeline KPIs, including referral volume, response time, conversion, authorization status, and time from referral to start of care
  • Partner with clinical and operational teams to identify and resolve barriers that delay access to services


Requirements


  • Experience in healthcare intake, insurance verification, authorizations, patient access, or a similar role
  • Strong understanding of commercial/private insurance
  • Exceptional communication, organization, follow-through, and customer-service skills
  • Ability to manage multi-location pipeline with urgency and accuracy
  • Experience with Lumary or a similar healthcare operating/EMR system preferred
  • Experience with ABA, pediatric therapy, or behavioral healthcare strongly preferred
