Job Title: Training & Onboarding Coordinator
Location: Sanford, FL — all office locations, ~25% travel

Position Summary:
The Training & Onboarding Coordinator, reporting to the Director of Human Resources, champions the Sunvena new-hire experience across all office locations. This high-impact role orchestrates seamless onboarding logistics, administers Paylocity for workforce management and timekeeping, and governs platform access provisioning company-wide. The Coordinator serves as a critical compliance lead, managing internal drug testing and assigning mandatory safety training. Success in this role requires a solid foundation in OSHA standards, with solar industry expertise considered a distinct advantage.
Key Responsibilities:
- Oversee the end-to-end new-hire experience from offer acceptance through successful integration, including background checks, documentation, and day-one logistics across all Sunvena sites.
- Administer internal drug testing protocols in accordance with company policy to ensure consistent and compliant workplace safety standards.
- Serve as the company's go-to for Paylocity — new-hire system entry, onboarding workflows, employee records, and timecard setup and troubleshooting.
- Partner with HR and Payroll to resolve timekeeping discrepancies and provide training to managers and new hires on timecard accuracy.
- Orchestrate mandatory compliance training, including Sexual Harassment Prevention, OSHA, and Safety & Fall Protection, ensuring 100% completion for all new staff.
- Control system access lifecycle by provisioning and deprovisioning platform credentials for new hires, role transfers, and departures company-wide.
- Maintain a comprehensive training matrix and LMS records, proactively monitoring OSHA card expirations to schedule recertifications before lapses occur.
- Develop and refresh onboarding materials, training modules, and job aids to reflect current company policies and regulatory requirements.
- Uphold documentation standards for all training and onboarding activities to ensure audit readiness for both internal and external reviews.
- Analyze onboarding and training completion metrics, reporting trends and potential gaps to the Director of HR.
- Liaise with external vendors for drug testing, background checks, and specialized training to ensure service level excellence.

Qualifications:
- 2+ years in onboarding, HR coordination, or training coordination.
- Required knowledge of OSHA regulations relevant to workplace safety training.
- Experience with Paylocity or a comparable HRIS, including onboarding workflows and timecard administration.
- Strong organization and records discipline — comfortable owning system access and training compliance across departments.
- Demonstrated ability to present and coordinate training for employees with varied experience levels.
- Proficiency with Microsoft Office / Google Workspace.
- Valid driver's license; ability to travel approximately 25% of the time across company office locations.
Preferred Qualifications:
- Solar or construction industry knowledge is preferred but not required.
- Bilingual (English/Spanish) preferred but not required.
- OSHA 30-Hour Construction card.
- Experience administering an LMS.
- Associate's or Bachelor's degree in HR, Occupational Safety, Education, or a related field.
PHYSICAL REQUIREMENTS & WORK ENVIRONMENT:
- Primarily office-based, with periodic travel (~25%) to other Sunvena office locations.
- Ability to sit or stand for extended periods working at a computer.
- Occasional exposure to active job site environments when supporting onboarding-related training.
- Ability to lift up to 25 lbs (files, onboarding materials and equipment).
