Payroll and Benefits Specialist

The Payroll and Benefits Specialist takes full ownership of payroll processing and employee benefits administration, serving as the go-to for both functions across the organization. Working closely with the Senior HR Manager and the broader HR team, you'll help build the systems and consistency our team needs as we expand, ensuring every employee, at every location, has a smooth and reliable experience when it comes to their pay and their benefits.

Key Responsibilities

Payroll Administration 

  • Own end-to-end payroll processing and batch runs in Paylocity
  • Manage payroll data entry, corrections, and reconciliation
  • Handle payroll forecasting, formulas, and reporting
  • Ensure payroll compliance across all active locations
  • Partner with Directors to forecast future payroll needs based on new site launch timelines, staffing requirements, and anticipated team member start dates

Benefits Administration 

  • Serve as the day-to-day administrator for employee benefits programs 
  • Own open enrollment planning and execution, including employee communications, vendor coordination, and enrollment processing
  • Ensure new team members receive timely information about company benefits during onboarding, including an overview of available benefits, enrollment requirements, and eligibility timelines
  • Proactively communicate benefit eligibility milestones to team members, ensuring they understand when they become eligible and how to enroll in applicable benefits
  • Respond to employee benefits questions and troubleshoot enrollment, eligibility, and claims issues
  • Manage benefits-related compliance requirements (ACA, COBRA, ERISA reporting as applicable)
  • Reconcile monthly benefits invoices and partner with finance/accounting as needed
  • Maintain accurate benefits data in HRIS/Paylocity
  • Provide quarterly benefits updates to leadership, highlighting key changes, enrollment trends, employee considerations, and areas requiring leadership awareness or action
  • Partner with clinical leaders to ensure timely, accurate, and consistent communication of employee health (Care Connect) updates to the broader team (e.g., pharmacy updates, new services)
  • Support the annual benefits renewal process alongside the Senior HR Manager and broker/vendors

General HR Support

  • Assist with new hire benefits and payroll setup in coordination with the HR Coordinator
  • Support HR compliance initiatives tied to multi-location growth (e.g., state-specific payroll and leave requirements)
  • Maintain accurate employee records related to compensation and benefits
  • Other HR duties as needed to support the broader team during peak periods (open enrollment, audits, location openings)
Requirements

 

Required:

  • 2+ years of experience in benefits administration
  • 2+ years of experience in payroll processing
  • Experience with HRIS/payroll platforms (Paylocity experience strongly preferred)
  • Strong understanding of benefits compliance basics (ACA, COBRA)
  • High attention to detail and comfort working with sensitive employee data
  • Strong communication skills and able to explain payroll and benefits clearly to employees at all levels
  • $58-62k compensation range.

Preferred:

  • Experience supporting open enrollment end-to-end
  • Experience in a multi-location or growing organization
  • PHR, SHRM-CP, or benefits/payroll-specific certification (e.g., CEBS, CPP) a plus, not required
