Office Coordinator

Trout CPA is a full-service certified public accounting firm dedicated to helping clients, employees, and communities thrive. We are seeking an organized, proactive, and service-oriented Office Coordinator to support daily operations in our Mechanicsburg office and help create an exceptional experience for both employees and visitors.


Major responsibilities and duties include:

  • Provide administrative support to Partners, Managers, and staff.
  • Coordinate calendars, schedule meetings, and arrange conference room logistics.
  • Managing incoming and outgoing correspondence, including mail, packages, and emails.
  • Monitor inventory and order office, kitchen, and breakroom supplies.
  • Greet visitors & assist with answering phone calls.
  • Maintain physical and electronic filing systems and assist with administrative reporting.
  • Assemble tax returns and organize, sort, and scan tax-related documents.
  • Maintain office equipment and coordinate repairs and maintenance services.
  • Serve as a liaison with vendors and facilities partners regarding building needs and projects.
  • Arrange office events, meetings, staff lunches, and catering.
  • Support special projects and other office operations initiatives as needed.
Requirements
  • 5+ years of administrative, office coordination, or related experience.
  • Experience in a professional services environment preferred.
  • Advanced proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Experience with practice management, document management, or workflow systems preferred.
  • Strong understanding of office operations and administrative processes.
  • Excellent organizational skills with the ability to manage multiple priorities and deadlines.
  • Strong attention to detail and follow-through.
  • Professional written and verbal communication skills.
  • Collaborative, service-oriented mindset with a willingness to support others.
  • Ability to exercise discretion and maintain confidentiality.
