About the Role:

The Administration Specialist is responsible for supporting a variety of administrative processes that support Navia’s client data operations, including elections processing, data imports, and related account updates. This role acts as a subject matter expert, ensuring accuracy, efficiency, and excellent customer service while supporting both clients and internal team members. The position also assists with miscellaneous departmental projects and may serve as a resource for training and mentoring junior staff.

  

What You’ll Do:


Data Import & File Processing

  • Process all import types, including eligibility, deductions, and open enrollment files across Navia’s benefits plans. 
  • Retrieve and process SFTP files and review for accuracy and completeness. 
  • Research and resolve issues related to individual files and plan discrepancies. 
  • Work with internal partners, brokers, and clients to build and maintain file feeds. 

Elections & Account Maintenance

  • Manually enter HCFSA, DCFSA, LHCFSA, and other applicable elections in Navia systems. 
  • Monitor department email inboxes and respond to client inquiries in a timely manner. 
  • Load HRA funds and enter COBRA paid-through dates. 
  • Issue debit cards and send participant confirmations via email or mail. 
  • Send required communications including daily carryover notifications, monthly PEST statements, and HSA invitation emails. 

Quality Assurance & Support

  • Perform duplicate bank account audits. 
  • Assist with mentoring or supporting Administrative Specialists as needed. 
  • Provide excellent customer service with a focus on accuracy and timely issue resolution. 

Collaboration & Team Support

  • Work collaboratively with Imports, Elections, Account Managers, and other internal teams to accomplish daily goals. 
  • Assist with miscellaneous departmental projects and workflows as assigned. 

Other Duties

  • Perform other duties as assigned.

  Work Environment:

Candidates within 30 miles of one of our four office locations may be asked to come into the office for a hybrid schedule depending on the role. 


Eligible candidates will reside in one of the following states: AZ, CA, CO, FL, GA, IL, IN, KS, MA, ME, MI, MN, MO, MT, NC, ND, NE, NJ, NV, NY, OH, OR, PA, SD, TN, TX, UT, AND WA

Salary Description
$17-$19/Hr.
