Magnolia Plumbing, Inc. is seeking a detail-oriented Licensing & Compliance Coordinator to manage and coordinate business licenses, permits, vehicle/truck registrations, and other regulatory documentation. This position will help ensure Magnolia remains compliant with local, state, and regulatory requirements across the areas in which we operate.

The ideal candidate is highly organized, comfortable working
independently, and able to manage multiple applications, renewals, deadlines,
and regulatory requirements at once.


Work Arrangement

This is a hybrid/remote position. The employee must be available to communicate with internal teams and government agencies during normal business hours. Occasional in-person attendance may be required.


 Responsibilities

  • Manage and maintain Magnolia's business licenses, permits, registrations, and related documentation.
  • Coordinate permits required for plumbing, construction, utility, and other company operations.
  • Handle truck and commercial vehicle registrations, renewals, permits, and related paperwork.
  • Track expiration dates and ensure licenses, permits, and registrations are renewed on time.
  • Research local, county, state, and municipal licensing and permitting requirements.
  • Submit applications, renewals, supporting documentation, and fees to appropriate agencies.
  • Maintain accurate digital records of licenses, permits, vehicle documents, and compliance information.
  • Communicate with government agencies, municipalities, DMV offices, permitting departments, and other regulatory organizations.
  • Follow up on pending applications and resolve documentation issues or requests for additional information.
  • Maintain a centralized tracking system for all licenses, permits, registrations, and renewal deadlines.
  • Assist with obtaining new business licenses and permits when Magnolia expands into new jurisdictions.
  • Provide management with updates regarding pending permits, upcoming renewals, and compliance requirements.
  • Support the operations and fleet teams with truck and vehicle-related documentation.
  • Perform other administrative and compliance-related duties as needed.
Requirements

  

  • 2+ years of experience in licensing, permitting, compliance, administrative coordination, fleet administration, or a related field preferred.
  • Experience working with government agencies, municipalities, DMV, or permitting offices preferred.
  • Experience with contractor or trade licensing.
  • Experience with plumbing or HVAC licensing and permitting is a plus.
  • Experience with commercial vehicle or truck registrations.
  • Familiarity with DOT-related documentation.
  • Experience with business license applications and renewals.
  • Experience with municipal permitting.
  • Construction, plumbing, HVAC, utility, or contractor licensing experience is highly preferred.
  • Strong organizational and time-management skills.
  • Excellent attention to detail and ability to manage multiple deadlines.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office, Google Workspace, and/or similar administrative systems.
  • Ability to research regulations and interpret licensing and permitting requirements.
  • Ability to work independently in a remote or hybrid environment.
  • Strong follow-through and problem-solving skills.
