Operations Generalist

Description

The Operations Generalist supports the organization’s day-to-day operations by coordinating systems, processes, documentation, and cross-departmental needs. This position is intended for a highly organized, analytical, and adaptable professional who can support a wide range of operational functions while helping ensure accuracy, compliance, follow-through, and effective communication across the organization.

This is not a traditional administrative assistant role. The Operations Generalist is a flexible problem-solver and “jack of all trades” who can take ownership of assigned tasks, identify process gaps, manage competing priorities, and support the organization’s overall operational effectiveness.


Key Responsibilities

  • Support day-to-day operational functions across departments, including finance, human resources, programs, leadership, and administration.
  • Coordinate internal processes, documentation, tracking systems, and follow-up to ensure work is completed accurately and on time.
  • Assist with employee onboarding, off-boarding, personnel documentation, and related compliance processes.
  • Support record-keeping, document review, and compliance tracking, including employment eligibility and other required organizational records.
  • Assist with tracking expenses, budgets, grant-related expenditures, and supporting documentation as needed.
  • Coordinate travel, conferences, meetings, registrations, schedules, and related logistics.
  • Monitor and route incoming calls, messages, and general inquiries to the appropriate staff, program, or department.
  • Maintain organized digital files, shared documents, trackers, forms, and operational records.
  • Support communication and coordination between departments, vendors, partners, and leadership.
  • Identify inefficiencies, missing information, or process concerns and recommend practical solutions.
  • Assist with special projects, reporting, research, data tracking, and other operational needs as assigned.
  • Maintain confidentiality and professionalism when handling sensitive employee, financial, client, or organizational information.
Requirements

Minimum Qualifications

  • Two or more years of experience in operations, administration, human resources support, finance support, compliance, project coordination, nonprofit operations, or a related field.
  • Experience coordinating processes, maintaining records, tracking information, and supporting organizational systems.
  • Proficiency with Google Workspace or similar digital productivity tools.
  • Strong computer skills, including spreadsheets, shared drives, calendars, and document management systems.
  • Ability to pass required background checks and comply with organizational policies.

Preferred Qualifications

  • Experience in a nonprofit, public sector, social service, or mission-driven organization.
  • Experience supporting human resources, finance, compliance, grants, operations, or program administration.
  • Familiarity with grant-funded programs, expense tracking, or reimbursement-based funding.
  • Experience working in a fast-paced environment with multiple departments or programs.
  • Comfort learning new software systems and improving workflows.
