Position Summary

The Quality Management Coordinator provides coordination and operational support for BPA Health’s enterprise-wide Quality Management Program. Reporting to and working under the direction of the Director of Internal Growth & Retention, this position supports quality priorities established by leadership and aligned with organizational goals.


The position coordinates quality governance activities, quality measurement and reporting, policy and document control, regulatory documentation, and appeals, complaints and fraud, waste and abuse (FWA) processes. Working across departments, the coordinator maintains schedules, documentation, dashboards and follow-up activities to help ensure quality work remains organized, accurate and on track. This role also supports the review of performance data by identifying trends, risks and potential improvement opportunities for leadership’s consideration.

This is a full-time, non-exempt, coordination-focused position. It supports the execution of enterprise quality priorities but does not independently establish quality strategy or manage the quality responsibilities assigned to individual departments.


Essential Functions and Key Outcomes

Enterprise Quality Program Coordination

  • Coordinate the annual Enterprise Quality Plan, work plan and related improvement initiatives. 
  • Maintain schedules, priorities, assignments and supporting documentation. 
  • Monitor progress and proactively follow up on outstanding quality commitments. 
  • Support cross-functional quality and process-improvement initiatives. 
  • Support the Director of Internal Growth & Retention and Integrator in executing enterprise quality priorities. 

Quality Governance and Committee Administration

  • Coordinate the Quality Management Committee and other assigned governance meetings. 
  • Prepare agendas, reports, meeting materials and minutes. 
  • Maintain committee decisions, records and historical documentation. 
  • Track action items, responsible owners and due dates through completion. 

Quality Measurement, Dashboards and Insights

  • Compile, validate and maintain enterprise quality measures, Scorecards and dashboards. 
  • Monitor performance indicators and identify trends, risks, gaps and improvement opportunities. 
  • Translate dashboard results into clear insights that help leaders understand organizational performance and determine appropriate next steps. 
  • Prepare recurring quality reports and support development of the Annual Quality Plan and Annual Quality Report. 
  • Ensure quality information is accurate, timely and useful for organizational decision-making. 

Regulatory and Quality Documentation

  • Maintain quality plans, regulatory records and audit-supporting documentation. 
  • Maintain the Disaster Recovery and Business Continuity Plan. 
  • Coordinate documentation for audits, accreditation, contracts and regulatory reviews. 
  • Keep quality program records organized, current, accessible and audit-ready. 

Appeals, Complaints and FWA Coordination

  • Coordinate the intake, tracking and documentation of appeals, complaints, grievances and FWA referrals. 
  • Monitor required timelines, communications and follow-up activities. 
  • Prepare documentation and materials supporting committee review, investigation and resolution. 
  • Maintain complete records and protect confidential and sensitive information. 

Policy and Document Control

  • Maintain enterprise policies, procedures, standards and related controlled documents. 
  • Coordinate review, revision and approval workflows. 
  • Manage version control, revision history, retention and archiving. 
  • Ensure current approved documents are accessible and connected to related processes and standard operating procedures. 
  • Support leaders in meeting organizational documentation standards. 

Additional Responsibilities

  • Support enterprise process-improvement and audit-readiness initiatives. 
  • Coordinate assigned quality projects and organizational priorities. 
  • Maintain quality records in accordance with organizational, contractual and regulatory requirements. 
  • Perform other duties as assigned.

  • The Enterprise Quality Program is organized, measurable and progressing according to plan. 
  • Leaders have accurate dashboards and understand what the quality data indicates about performance, risk and improvement opportunities. 
  • Quality governance committees operate efficiently, with complete documentation and timely follow-through. 
  • Regulatory and quality documentation remains current, organized and audit-ready. 
  • Appeals, complaints and FWA matters are coordinated accurately and within required timelines. 
  • Policies and controlled documents are current, approved, accessible and connected to related processes and standard operating procedures. 
  • Cross-functional quality initiatives are supported through proactive coordination, communication and execution.
Requirements

 

Qualifications

Education

  • Bachelor’s degree in healthcare administration, quality management, public health, business administration or a related field preferred. 
  • Equivalent relevant experience may be considered. 

Experience

  • Two or more years of experience in healthcare quality management support, performance improvement, compliance or administration. 
  • Experience measuring and reporting quality, including maintaining dashboards, interpreting performance indicators and identifying improvement opportunities. 
  • Experience supporting cross-functional initiatives with an enterprise-wide quality mindset. 
  • Behavioral health or healthcare experience preferred. 

Knowledge, Skills and Abilities

  • Strong organizational, analytical and project coordination skills. 
  • Ability to understand data and translate it into clear, meaningful insights. 
  • Excellent attention to detail, accuracy and follow-through. 
  • Clear written and verbal communication skills. 
  • Ability to manage competing priorities and required timelines. 
  • Ability to work independently while collaborating across departments and leadership levels. 
  • Sound judgment and the ability to maintain confidentiality. 
  • Proficiency with Microsoft Office and business reporting or dashboard systems. 
  • Working knowledge of HIPAA and 42 CFR Part 2 preferred. 


This roles works out of the Boise, ID office with in-person days required. 

The employee must be able to perform the essential functions of the position, with or without reasonable accommodation. This includes the ability to communicate effectively, use a computer and other standard office equipment, remain in a stationary position for extended periods, and occasionally move or lift materials weighing up to 25 pounds.
