The Tax Associate supports the organization's tax and compliance functions across multiple states. This role is responsible for assisting with sales tax compliance, customer exemption certificate management, balance sheet reconciliations, property tax payments, business licensing, dealer licensing, and tax audit support.
The ideal candidate is highly organized, detail-oriented, and proficient in Microsoft Excel. While prior tax or accounting experience is preferred, we are willing to train candidates who demonstrate strong analytical skills, attention to detail, and a willingness to learn. This position works closely with accounting, operations, licensing authorities, and third-party tax providers to help ensure compliance with state and local tax requirements. Key Responsibilities
Sales Tax Compliance
- Maintain customer exemption certificates and ensure proper documentation is retained and updated.
- Assist with the preparation, review, and filing of sales and use tax returns across multiple jurisdictions.
- Research and resolve sales tax notices, discrepancies, and account issues.
- Monitor tax compliance requirements and support the implementation of process improvements.
- Work with internal departments to ensure accurate tax treatment of transactions.
Property Tax Compliance
- Process and track real property tax and personal property tax payments.
- Maintain property tax records and supporting documentation.
- Assist with the preparation and filing of personal property tax returns as needed.
- Review property tax assessments and support compliance with local filing requirements.
Licensing & Compliance
- Assist with obtaining and renewing business licenses, permits, and registrations.
- Support dealer license applications, renewals, and ongoing compliance requirements.
- Maintain compliance calendars and monitor filing and renewal deadlines.
- Work with internal stakeholders to gather information required for regulatory filings.
Reconciliations & Reporting
- Prepare balance sheet account reconciliations for tax-related accounts.
- Investigate and resolve reconciling items and variances.
- Maintain accurate records and supporting schedules.
- Prepare reports and provide data analysis for the accounting and tax teams.
- Utilize Excel to organize, analyze, and reconcile large datasets.
Audit Support
- Gather documentation and respond to requests related to sales tax audits and other tax examinations.
- Organize records and maintain audit support files.
- Assist in resolving tax notices and correspondence from state and local jurisdictions.
Process Improvement
- Identify opportunities to improve tax compliance processes and reporting.
- Assist with special projects and system implementations as assigned.
- Participate in continuous improvement initiatives that enhance efficiency and accuracy.
Requirements
- Strong Microsoft Excel skills required, including PivotTables, XLOOKUP/VLOOKUP, sorting, filtering, and data analysis.
- Excellent organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities and meet deadlines.
- Experience with sales tax, property tax, licensing, dealer compliance, or accounting functions is preferred but not required.
- Ability to work independently and collaboratively in a fast-paced environment.
