Position Summary:
The Development Coordinator maintains the organization’s donation database and supports resource development administrative tasks, stewardship, special events, and volunteer engagement. As an integral part of the resource development team, the Development Coordinator’s responsibilities facilitate moves management among the organization’s donor base. The Development Coordinator’s role is extremely detail-oriented and manages daily administrative tasks that ultimately influence donor trust, confidence, and compliance. The Development Coordinator reports to the Director of Annual Giving.
Position Description:
- Record gifts and manage donor profiles to maintain timely accuracy and cleanliness of the organization’s donor database
- Communicate relative gift information (i.e. pledges and pledge payments, gift allocations, etc.) to the Finance department
- Reconcile revenue with Finance monthly
- Pull donor lists to support moves management and donor communications, including solicitations, invitations, and stewardship pieces
- Prepare gift acknowledgement letters and donation reports
- Distribute weekly donation reports for boards
- Prepare and track donor agreements
- Make deposits to VNB at least once per week
- Provide special event support, such as tracking guests lists and attendance, creating signage, and assembling registration packets and nametags
- Provide on-site event support
- Support the Chief Development Officer with paperwork administration and donor communication to submit tax credit requests to the Virginia Department of Education
- Facilitate meaningful and creative stewardship (i.e. impact videos, Club member art work, etc.) that connects Club supporters and partners to the organization’s mission
- Collaborate with Club staff to support the volunteer-to-donor pipeline
- Commitment to the Boys & Girls Club mission
- Strong attention to detail and data input skills
- Strong organization and management skills to handle confidential donor information
- Comprehensive knowledge of gift processing and acknowledgement best practices
- Experience working with Abila Fundraising 50 or similar development software
- Adept ability to learn and operate software systems
- Strong verbal and written communication skills required
- Ability to work independently and collaboratively, manage multiple priorities, meet deadlines, and take initiative
- Working proficiency of MS Office applications
- Publisher, Adobe software (or similar programs), Canva, and Abila Fundraising 50 (or similar development software) is a plus
- Ability to work evenings and weekends as appropriate
- Ability to be effective in an environment with varying levels of noise throughout the day
- Ability to operate a computer and other office equipment the majority of the workday
- Ability to travel to multiple Club and community sites
- Ability to communicate effectively with staff, donors, volunteers, vendors, and community partners in person, by phone, and electronically
- Ability to perform repetitive tasks such as typing, writing, and data entry
- Ability to lift, carry, move, and set up special events supplies weighing up to 20 pounds on an occasional basis
Education and Certifications:
- Bachelor’s degree, or equivalent experience
