What You'll Do

As the Development Administrative Assistant, you'll play a key role in supporting fundraising and community engagement efforts by:  

  • Provide general administrative support related to day-to-day development activities to include daily mail, mail campaigns, submitting invoices for sponsorships, facilitate contract routing, scheduling meetings, etc
  • Input, track, and update donor information into Raiser's Edge NXT. Handle incoming checks and cash as required by accounting policies. Work with Development Data Specialist to create reports, prepare donor lists, and run queries
  • Draft donor correspondence to steward, thank, and cultivate donors showcasing the value of Easterseals Florida’s program to each community
  • Assist with Advisory Board and committee meetings, including taking meeting notes, arranging food, technological setup, maintaining committee lists, tracking participation, and other logistics
  • Work with outside volunteer programs and development team members to recruit and coordinate volunteers as needed to assist with special events
  • Assist with special and fundraising events, donor receptions, board retreats and other Easterseals Florida events
  • Work with marketing team to develop presentations and assist with obtaining program data for the creation of publications and printed materials


What You'll Bring

  • Associate's degree from an accredited college or technical school preferred; equivalent education and experience considered
  • Two to three years of administrative experience, preferably in a nonprofit, fundraising, or development environment
  • Strong proficiency with Microsoft Office applications (Word, Excel, Outlook, PowerPoint), Internet, Adobe, and database software
  • Experience with Raiser's Edge NXT or similar donor database software preferred.
  • Professional and courteous phone etiquette
  • Excellent communication (written and verbal), organizational, and interpersonal skills with exceptional attention to detail.
  • Ability to interact professionally with donors, volunteers, staff, and community partners
  • Ability to manage multiple priorities, work independently, and meet deadlines in a fast-paced environment
  • Flexibility to attend occasional evening and weekend events
  • Ability to travel as needed for meetings, events, and community activities
  • Ability to meet our approved driver qualifications in order to drive your personal vehicle, as required, for program-related needs (minimum age of 21 and good driving history)
