Description

The senior advancement database manager is responsible for oversight of reporting and list management, development compliance and data maintenance activities of the advancement office database; and oversight and assistance with gift processing and acknowledgments. Responsible for ensuring accurate campaign, financial and systems reports and compliance with campus, audit and federal/state regulatory policies.

  • Lead work of advancement services, proactively driving and also delivering on requests for accurate dashboards, reports, lists, reminders, and all other information and records to assure the fulfillment of responsibilities and compliance. Understand and track using IRS, CASE and Central guidelines regarding the acceptance of gifts.
  • Prepare reports and information for vice president, team, SLT, board and internal and external entities as needed.
  • Partner, analyze and collaborate in campaign reporting and related campaign activities.
  • Team lead for internal software, systems and processes that supports the work of fundraising, communications and stewardship, becoming a CRM superuser and the ability to train others.
  • Supervise the recording of all gifts and pledges to Central and the accompanying responsibilities of generation of reports, receipts, pledge reminders, gift schedules, transmittals and other gift-related data as requested and serving as a point of contact for various external vendors and platforms.
  • Responsible for strong partnership with financial aid in connecting annual Journey scholarship and endowed scholarship donors and students, ensuring donor criteria is met and communication plan is executed. 
  • Work collaboratively with other advancement staff for segmenting appeals and messaging, program materials and donor communications including lists for invitations, donor awards and recognitions, and program materials.
  • Advise and prepare donor recognition for donor walls, displays and digital or print display. 
  • Responsible for data integrity of advancement records in partnership with all college records, identifying, leading and contributing to data projects related to data integrity and/or clean up. 
  • Provide unprompted insight and analysis of data to assist in the development of best practices throughout the advancement office, the campaign and to continue to professionalize the organization and the work of the advancement team.  
  • Assist with signature campus events including Homecoming, scholarship dinner, giving days including HooRah day and graduation.
Requirements
  • Bachelor’s degree, or equivalent, with five years effective experience in data, reporting, analytics or fundraising preferred. 
  • Expertise with non-profit or higher education data, software and reporting technologies helpful but not required.
  • Willingness to learn CRM Advance and be a power user of this tool for data integrity, lists and segmentation.
