The Guest Services Supervisor is a key position for our team at Camp MayMac. As the first point of contact, you will represent CityTeam in person, over the phone, and via email. Our Guest Services Supervisor must be professional and have the soft-skills necessary to answer questions, close sales, and advocate for CityTeam. No two-days are ever the same, so we are looking for someone who can pivot quickly and deal with surprises and unexpected twists with grace. It is important that you have strong written and verbal communication skills, proven interpersonal skills, and the ability to handle conflict resolution in a Christ-like manner. The Guest Services Supervisor will work in cooperation with the Food and Facility Service personnel to meet guests’ needs.
The Guest Services Coordinator is a 24-hour a week non-exempt position.
ESSENTIAL FUNCTIONS
- Host: Friendly and effective, with the ability to address up to 200 guests, manage solutions, and defuse difficult situations. Interact with guests, vendors, and donors to provide information, conduct tours, and ensure guest needs are met during events.
- Event Management: Provide information by phone, email, or in person; book reservations for year-round schedule; manage rental group contracts, correspondence and communications; update online rental services data; regulate rates and fees; confirm insurance compliance; develop and update related documents; and ensure paperwork is completed for events.
- Coordinate Camp Services: Create detailed event reports to enable Food Service and Facility staff to meet requirements of multiple groups. Provide feedback from groups to Food Service and alert Facility Staff to maintenance needs or guest related damage/litter.
- Bookkeeping Administration: Manage deposits and billing for events; track and report deposits, revenue and use statistics; manage merchandise funds.
- Facilities Administration: Purchase, allocate, and ensure event related materials are in good working order for all groups (i.e. A.V. equipment, recreational equipment, tables, and chairs). Order and manage snacks and merchandise for camp sales.
- Office Management: phone - first point of contact; mail - pick up and distribute; manage general office systems, files and supplies; provide administrative support for co-workers as needed.
- Work in cooperation with the Marketing Department to ensure the CMM page of the CityTeam website is current and you have appropriate promotional materials.
- Manage multiple projects, prioritize tasks, and stay ahead of deadlines.
- Advocate for CityTeam with those in your circles of influence and promote CMM to churches and other organizations.
- Attend staff meetings, trainings, and appropriate community meetings as necessary.
- Participate in the planning and implementation of fundraising events, as needed.
- Other duties and special projects as assigned by the Executive Director of San Jose CityTeam.

Required Education and Experience
- High School diploma or equivalent
- Minimum 5-years guest services experience or equivalent hospitality industry related training with at least 3-years of experience
- Must enjoy working with and have demonstrated success interacting with people from a variety of socio-economic, cultural, educational, and religious backgrounds
- Must be able to receive directions, collaborate, and work independently
- Must be comfortable working alone when no one else is on site
- Computer literate and proficiency with Microsoft Office Suite
- Proficiency with Mail Merge
- Outstanding command of the English language, especially writing professional documents and business correspondence
- Minimum 2-years of administrative experience
- Valid CA Driver’s License with a clean record
Preferred Education and Experience
- 4-year degree in a related field or equivalent experience
- Supervisory experience
- ServSafe food handler certification

- This job operates in a professional office environment

- Days and hours of work are typically business hours Wednesday-Sunday, with occasional evenings
- The exact days of the week will vary, depending on group usage at CMM
- This position will work some evenings, depending on ministry needs
- This position will need to occasionally handle off-hour emergencies
- This position will occasionally need to be outside and will be exposed to a variety of weather, including rain, heat, and cold
- This position will occasionally need to be outdoors and need to walk on uneven surfaces on dirt and mud
- Occasionally around wet, slippery floors or surfaces
- Occasionally around chemicals typically found in a professional kitchen or pool
Additional Eligibility Qualifications for CityTeam Ministries
- Must have an intimate, personal relationship with Jesus Christ
- Must be active in a local Christian body of believers or at least pursuing community with other Christ-followers
- Must have compatible theology on major issues of CityTeam's Statement of Faith
- Must be committed to serving God and the body of Christ
