BASIC FUNCTION 

Provide support and planning for the ministries of the Childhood Ministry Team and for other

ministries of the Church Strong Team as needed.

RESPONSIBILITIES/TASKS

1. Assist Specialist in preparation and promotion of events to include, but not limited to, enlisting a designer, proofing materials, requesting and reviewing the mailing list, and supervising printing.

2. Email promotional flyers of events to Preschool/Childhood Ministers, Director of Missions, and other key leaders and request placement on website. Creating Constant Contact email blasts promoting events, including other social networking platforms (Facebook, Instagram, etc.)

3. Maintain list of current participants in events, make name tags, design program, and answer questions about events. Monitor budget requirements for events. 

4. Provide administrative support for the Specialist to include,e but not be limited to, accurate maintenance of record retention systems, filing, and responding to ministry needs from internal and external constituents.

5. Provide effective telecommunications support, including answering phones, taking messages, and routing messages and requests. Accurately identify high-priority callers and take immediate action to inform the specialist, then properly manage routing of callers and/or messages to the appropriate individual. 

6. Deposit checks and prepare expense forms and honoraria as required. Process check requisitions, invoices, reimbursement vouchers, credit card bills, and travel expenses as required; maintain an efficient record retention system for these documents. Monitor compliance with budgetary guidelines and notify Strategists of any budget deficit.

7. Maintain list of Preschool/Childhood Ministers and update contact list to ensure information is current on all databases. 

8. Attend events, as requested (to include but not limited to the Preschool/Childhood Ministers Retreat, Conclave NextGen, Special Friends Retreat) and assist with registration and other event needs.

9. Assist in Bible Drill competitions as needed.

10. Assist in preparation for Leadership Texas Baptists monthly gatherings.

11. Assist in promotion, registration, and reporting for the childhood ministry certification program.

12. Monitor the Preschool/Childhood curriculum (English and Spanish) and VBS Curriculum (English and Spanish) on BaptistWay Press website.

13. Process mail and other correspondence in an accurate and timely manner.

14. Prepare and proofread letters, memos, spreadsheets, and other correspondence accurately and promptly.

15. Answer phones promptly, take accurate messages, and respond to requests for information. 

16. Work with co-workers effectively to meet objectives established for the successful completion of projects.

17. Attend meetings and participate in training as required.

18. Maintain compliance with Baptist General Event of Texas policies and procedures. Maintain compliance with all state and federal laws and regulatory requirements.

19. Maintain and administer Ministrysafe compliance (Background Checks & Sexual Abuse Prevention Training) for the Church Strong Team. This will represent 25% of this position.

20. Serve as a knowledgeable contact regarding the Church Strong Team’s purpose, goals, functions, and resources.

21. Complete tasks related to the overall operations of the Church Strong Team as assigned by the Church Strong Team Administrator (25% of this position).
