JOB SUMMARY: 

The Project and Procurement Coordinator is responsible for sourcing, purchasing, and managing the timely delivery of equipment, materials, and services required for healthcare operations or capital projects. This role ensures all procurement activities comply with regulatory standards and organizational policies, with a strong focus on quality, cost-efficiency, and timely fulfillment. Will be responsible for supporting the operational execution of new market launches across PeopleOne Health centers. This role ensures that new and existing markets are prepared, compliant, scalable, and aligned with PeopleOne Health facilities standards. The Coordinator will aid the owner of DeNovo projects for facility readiness, vendor coordination, launch logistics, and post-launch stabilization initiatives. This role will require partnership with Clinical Operations, Area Managers, Center Managers, IT, Clinical Applications, Compliance, Executive Leadership and various external vendors. The ideal candidate has experience in healthcare, construction, or facilities procurement, and a deep understanding of vendor management, contract negotiation, and inventory logistics.

New Market or Health Center Launch Execution (DeNovo Centers)

  • Support readiness planning in the facilities and construction area of new market launches (typically four-center markets). 
  • Track and expedite long-lead items to prevent project delays or disruptions to clinical services.
  • Manage end-to-end procurement processes for medical supplies, construction materials, furniture, fixtures, and support services.
  • Coordinate timelines for:
  • Facility build-out and inspections
  • Equipment and furniture installation
  • IT infrastructure setup
  • Track vendor deliverables and ensure milestone adherence. Maintain accurate procurement records, including purchase orders, delivery schedules, vendor documentation and asset management.
  • Set-up new centers supplies, equipment, and furniture based on the template PeopleOne Health model.
  • Collaborate with project managers, clinical teams, architects, and vendors to ensure products meet project specifications and healthcare regulations.
  • Coordinate with logistics, finance, and compliance teams to support accurate invoicing, inventory tracking, and regulatory reporting.
  • Support go-live week operations and immediate stabilization efforts
  • Conduct 30/60/90-day post-launch operational review

Operational Optimization – Existing Markets

  • When not actively launching new markets, the Coordinator supports efficiency and readiness across current centers by:
  • Solicit and evaluate bids, negotiate pricing, and secure favorable contract terms. Analyze procurement data to identify cost-saving opportunities and supply chain improvements.
  • Maintain and execute a standardized facilities readiness checklist.
  • Conducting workflow and facility readiness audits
  • Identifying operational bottlenecks and recommending solutions
  • Assisting with space reconfiguration or expansion projects
  • Supporting equipment lifecycle tracking and replacement planning
  • Coordinating resolution of operational environment concerns
  • Monitor supplier performance and resolve delivery or quality issues.
  • Investigate and review possible new office locations and layouts
  • Inventory Capital assets for financial tracking
  • Manage contractors for work orders associated with Healthcenter needs

Regulatory & Compliance Readiness

  • Maintain centralized tracking of:
  • Environmental safety documentation
  • Emergency preparedness binders
  • Required postings and licensure documentation
  • Aid in preparing centers for inspections or audits from a facilities side. In partnership with Compliance, conduct mock readiness assessments.
  • Ensure all purchases align with infection control protocols, safety standards, and regulatory requirements.
  • Work with City or County officials for occupancy requirements.

Vendor & Facility Management

  • Serve as liaison with landlords and facility vendors
  • Track maintenance, repair, and capital improvement projects
  • Manage furniture, equipment, and supply ordering for new and existing sites
  • Maintain vendor contact database and service agreements

Requirements

EDUCATION & CERTIFICATIONS:

  • Bachelors degree in related fields required or in lieu of a degree professional experience of 10 or more years is accepted. 
  • Project Management certification (PMP, CAPM, or equivalent) and/or Lean, Six Sigma, or process improvement certification preferred


EXPERIENCE:

  • 4-7 years of procurement experience in construction or facilities management. 
  • Strong understanding of healthcare regulations (e.g., Joint Commission, OSHA) and purchasing practices.
  • Excellent negotiation, communication, and organizational skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Experience with healthcare capital construction or renovations.
  • Demonstrated experience coordinating cross-functional initiatives
  • Experience supporting healthcare facility openings, expansions, or renovations preferred
  • Experience with vendor coordination and facility logistics preferred
  • Familiarity with medical equipment planning and healthcare supply chains preferred
  • Experience working in value-based care or primary care environments preferred

  • Ability to travel frequently to market locations during pre-launch and go-live phase
  • Travel to health center locations as needed (estimated 50% - 75%). May require an irregular schedule that changes weekly and monthly based on travel needs. May be expected to work some weekends and an occasional holiday.
  • Ability to stand and walk for extended periods during site setup and operational assessments
  • Ability to lift and move materials or equipment up to 50 pounds as needed during site preparation

Salary Description
$76,570-$114,850/year
