The Delivery Coordinator is responsible for planning, scheduling, and coordinating product deliveries to ensure orders are delivered accurately, safely, and on time. This position serves as the primary liaison between Sales, Operations, Drivers, Yard Staff, and Customers by managing delivery schedules, assigning resources, verifying order accuracy, maintaining delivery documentation, and supporting overall delivery operations.
The Delivery Coordinator plays a critical role in ensuring efficient delivery execution, customer satisfaction, and operational effectiveness while maintaining a strong commitment to safety and quality.
Responsibilities
Delivery Scheduling and Coordination
- Review the delivery calendar and coordinate upcoming deliveries based on order requirements, delivery locations, and scheduling priorities.
- Assign drivers, vehicles, and equipment necessary to complete scheduled deliveries.
- Organize and optimize delivery schedules to maximize efficiency and customer service.
- Update and maintain delivery calendars with accurate information on deliveries, drivers, pack-pullers, and invoices.
- Coordinate additional deliveries, transfers, pickups, or special requests with Sales Staff and the Operations Manager.
Communication and Customer Service
- Serve as the primary liaison between Sales Staff and Drivers regarding delivery schedules, locations, product requirements, and special instructions.
- Communicate delivery updates, schedule changes, delays, or other relevant information to internal teams.
- Contact customers regarding delivery confirmations, updates, scheduling changes, and other delivery-related matters.
- Provide timely and accurate communication to ensure customer satisfaction and operational efficiency.
Order Verification and Documentation
- Print and distribute delivery paperwork to pack-builders and other operational personnel.
- Review sales orders and delivery documentation to ensure accuracy and completeness.
- Verify all products pulled prior to loading by measuring, counting, and confirming quantities against sales orders.
- Ensure all sales orders are accurately converted to sales invoices and reflect products delivered.
- Maintain accurate records and documentation related to deliveries and returns.
Warehouse and Loading Operations
- Assist with loading trucks in a safe, organized, and efficient manner.
- Ensure products are properly secured and prepared for transportation.
- Maintain a clean, safe, and organized loading area.
- Coordinate the processing of returned materials from delivery sites and pickups.
- Generate and communicate lists of returned materials to Sales Staff for customer credit processing.
Fleet Support and Safety
- Assist the Operations Manager with vehicle maintenance activities, including daily inspections, DOT compliance inspections, and reporting maintenance concerns for trucks, trailers, and forklifts.
- Promote and maintain compliance with company safety policies and procedures.
- Ensure safety remains a top priority in all aspects of daily operations.
General Operations Support
- Assist yard staff as needed with customer service, pack-building, stocking, inventory organization, and facility upkeep.
- Support assigned operational initiatives and special projects.
- Perform other duties as assigned by the Operations Manager.
Qualifications
Required
· High school diploma or equivalent.
· Strong organizational and time-management skills.
· Effective verbal and written communication skills.
· Ability to prioritize multiple tasks in a fast-paced environment.
· Basic computer proficiency, including Microsoft Office and business software systems.
· Ability to work effectively with customers, drivers, sales personnel, and operations staff.
Preferred
· Previous experience in logistics, transportation, dispatching, warehouse operations, delivery coordination, or related fields.
· Experience working with scheduling, ERP, inventory, or order management systems.
· Forklift certification or ability to obtain certification.
Physical Requirements
- Ability to stand, walk, bend, stoop, and lift throughout the workday.
- Ability to lift and move materials weighing up to 50 pounds, with or without reasonable accommodation.
- Ability to work both indoors and outdoors in varied weather conditions.
- Ability to safely access loading areas, trucks, trailers, and warehouse locations.
Work Environment
This position operates in a combination of office, warehouse, and outdoor environments. The employee will frequently interact with drivers, customers, sales personnel, and operations staff while coordinating delivery activities and supporting warehouse operations.
