The Glen Oaks Club, a premier club in Long Island, NY, is seeking an Event Intern. The Glen Oaks Club is known for providing its members with an exceptional and personalized experience. For nearly 100 years the Glen Oaks Club has been evolving to maintain its stature as a home away from home for its member families.
Position Overview:
The Events Intern will assist the Events Department with the planning, coordination, and execution of member events, private functions, weddings, meetings, and special club activities. This internship provides hands-on experience in luxury hospitality and event management within a premier private club environment.
The ideal candidate is highly organized, professional, creative, and eager to learn about all aspects of event planning and execution. The Events Intern will work closely with the Events Manager and other club departments to ensure exceptional service and memorable experiences for members and guests.
Key Responsibilities
- Assist with the planning and coordination of member events, private parties, weddings, meetings, and special events.
- Support the Events Manager with administrative and operational tasks related to upcoming events.
- Assist with creating event timelines, banquet event orders (BEOs), floor plans, seating arrangements, and event materials.
- Communicate event details and requirements to appropriate departments, including Food & Beverage, Culinary, Facilities, Housekeeping, Security, and Golf Operations.
- Attend and assist with event setup, execution, and breakdown.
- Help coordinate vendor arrivals, deliveries, entertainment, décor, rentals, and other event-related services.
- Greet members, guests, and vendors in a professional and welcoming manner.
- Assist with maintaining event calendars and tracking upcoming functions.
- Participate in site visits and meetings with members, clients, and vendors as appropriate.
- Assist with preparing event proposals, correspondence, menus, signage, and other event-related materials.
- Conduct research on industry trends, event ideas, décor, entertainment, and member engagement opportunities.
- Assist with post-event follow-up and gathering feedback to identify opportunities for improvement.
- Support the development and execution of employee and member engagement events.
- Maintain confidentiality regarding club members, guests, and private events.
- Perform other duties and special projects as assigned.
Preferred Qualifications
- Currently pursuing or recently completed a degree in Hospitality Management, Event Management, Business, Communications, Marketing, or a related field.
- Strong interest in event planning, hospitality, luxury service, or private club operations.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Ability to multitask and manage multiple projects in a fast-paced environment.
- Strong attention to detail and problem-solving abilities.
- Professional demeanor and excellent interpersonal skills.
- Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
- Experience with event management software is a plus but not required.
- Ability to work independently as well as collaboratively within a team environment.
