Your Future Role:

The Florist at Moana and Stem Studio are growing, and we need a highly organized Floral Operations Administrator to help keep flowers, orders, teammates, customers, deliveries, inventory, and daily priorities moving.

This is not primarily a floral design position. This is the operational center of our floral department — a hands-on role for someone who enjoys creating order in a busy environment, communicating clearly, following through, and helping the entire team succeed. You will coordinate the daily priorities established by the owner and floral manager while supporting designers, drivers, customers, marketing, and our retail team.

This position requires someone who is equally comfortable answering a customer’s phone call, adjusting a delivery route, checking flower quality, updating a schedule, organizing a cooler, following up on an unfinished assignment, or helping prepare the department for a busy floral holiday. Floral design experience is a plus, but strong administrative ability, operational judgment, attention to detail, and accountability are essential.

YOUR SPECIFIC JOB RESPONSIBILITIES:

• Upholds Moana Nursery’s strict safety policies and floral sanitation standards.

• Helps coordinate the daily operations of The Florist at Moana and Stem Studio.

• Prepares and maintains the floral team’s work schedule based on approved staffing needs, availability and business priorities.

• Coordinates daily assignments, workflow and coverage for designers, assistants and drivers.

• Reviews delivery, pickup, phone and eCommerce orders to ensure they are assigned and completed accurately and on time.

• Communicates changing priorities clearly to the floral team.

• Identifies staffing, workflow, production or service concerns early and brings them to the owner or manager.

• Helps prepare the department for holidays, events, large orders and other peak floral periods.

• Answers floral phone calls, emails and voicemails promptly and professionally.

• Assists customers with delivery orders, pickups, custom arrangements, product questions and general floral needs.

• Gathers complete and accurate order information, including recipient details, delivery instructions, card messages, budgets and design preferences.

• Responds to customer questions and concerns with care, urgency and good judgment.

• Communicates with customers when substitutions, delivery challenges or other changes affect an order.

• Organizes and manages daily delivery routes for accuracy and efficiency.

• Coordinates with drivers and designers to ensure completed arrangements are ready for departure on time.

• Monitors delivery progress and responds to access problems, recipient issues, incorrect addresses or other delivery complications.

• Coordinates receiving, processing, conditioning and proper storage of fresh flowers and foliage.

• Inspects incoming flowers for freshness, damage, temperature concerns and overall quality.

• Ensures flowers are hydrated, labeled, dated, rotated and stored appropriately.

• Monitors flower quality and helps remove, repurpose or report product that no longer meets our standards.

• Maintains accurate and organized inventories of fresh flowers, vases, floral supplies and essential hardgoods.

• Receives, counts and verifies incoming flower, vase and supply orders.

• Reports shortages, substitutions, damages and invoice discrepancies promptly.

• Maintains clearly labeled and organized floral coolers.

• Helps ensure cooler inventory boards or other tracking systems remain current and accurate.

• Supports inventory controls designed to reduce shrink, waste and unnecessary purchases.

• Helps ensure Stem Studio is fully stocked, clean, attractive and ready for customers each day.

• Monitors the freshness, presentation and pricing of available stems, wraps and arrangements.

• Coordinates daily Stem Studio replenishment based on sales, inventory and established production priorities.

• Helps ensure displays, buckets, signage and customer areas meet Moana Nursery standards.

• Coordinates floral products, arrangements and timing for scheduled photography with the floral and marketing teams.

• Organizes product details needed by marketing, including names, pricing, flower content and availability.

• Maintains a clean, safe and organized floral department throughout the workday.

• Establishes and monitors routines for cleaning coolers, worktables, sinks, floors, tools, buckets and customer areas.

• Assists with basic arrangements, wraps and established floral recipes when experience and business needs allow.

• Helps complete orders during busy periods or unexpected staffing shortages.

• Communicates effectively with designers about recipes, substitutions and customer expectations.

• Learns and uses Moana Nursery’s business systems, including Epicor, iNet floral eCommerce and BloomNation, as assigned.

PHYSICAL REQUIREMENTS & ACTIVITY:

• Applicant must be able to stand and walk for extended periods.

• Applicant must be able to regularly lift and carry up to 50 pounds.

• Applicant must be able to bend, reach and perform repetitive hand movements.

• Applicant must be able to work in and around refrigerated floral coolers.

• Applicant must be able to safely use floral tools and equipment.

• Applicant must be able to handle water, flowers, foliage, boxes, vases and floral supplies.

• Applicant must be able to perform routine cleaning, flower-processing and inventory tasks.

• Applicant must be able to work in a busy retail and floral-production environment.

EXPERTISE & EXPERIENCE REQUIREMENTS:

• Administrative, scheduling, retail operations, floral operations or customer-service experience.

• Strong verbal and written communication skills.

• Excellent attention to detail and follow-through.

• Ability to organize schedules, orders, inventory, deliveries and time-sensitive tasks.

• Strong computer skills and the ability to quickly learn business systems.

• Ability to coordinate effectively with the owner, floral manager, marketing team, designers, drivers and retail teammates.

• Sound judgment when handling customer concerns, substitutions, delivery issues, online orders and operational problems.

• Ability to work independently while keeping the owner and manager informed.

• Ability to remain calm and solutions-oriented when schedules, deliveries or customer needs change.

• Dependable, punctual and prepared to work at the beginning of every shift.

• Availability to work a full-time retail schedule, including some weekends and peak floral holidays.

NICE TO HAVE SKILLS OR EXPERIENCE:

• Experience in a flower shop, floral studio, garden center or other perishable-product environment.

• Floral design or flower-processing experience.

• Experience managing delivery routes or dispatching drivers.

• Inventory-control and product-receiving experience.

• Retail scheduling experience.

• Experience with eCommerce, phone, point-of-sale, inventory or order-management systems.

• Knowledge of fresh-flower care, conditioning, cooler organization and quality control.

• Photography or marketing-coordination experience.

• Experience with Epicor, iNet, BloomNation or similar business systems.

• Valid Nevada driver’s license.

YOUR FUTURE WORK SCHEDULE:

This is a full-time, 40-hour-per-week position. Because The Florist at Moana and Stem Studio operate within a seven-day retail environment, the schedule will include a combination of weekdays and weekends based on business needs.

Availability during major floral holidays and peak periods—including Valentine’s Day, Mother’s Day and other high-volume weeks—is required. Some schedule flexibility will be necessary when large orders, events, deliveries or staffing changes occur.
