Description

Position Overview:


As the Practice Manager, you will serve as the cornerstone of our medical spa's operations, overseeing every facet to ensure seamless functionality, exceptional patient experiences, and sustainable revenue growth. Your leadership will drive the success of the practice by fostering a positive work environment, maintaining our cultural ethos, and effectively communicating company directives to the site-level team members. From managing inventory and scheduling to leading marketing initiatives and staff development, your strategic vision and managerial acumen will be essential in achieving our goals.


Essential Functions: 


Operations Management:

· Oversee daily practice operations including scheduling, inventory management, and facility maintenance. 

· Facilitate communication of corporate directives and initiatives to site-level staff, ensuring alignment with organizational goals and objectives.

· Manage customer service initiatives, patient scheduling, and front desk operations to optimize efficiency and satisfaction.

· Coordinate patient satisfaction efforts, including follow-up communication and resolution of any concerns or issues.

Financial Oversight:

· With support from Empower Aesthetics, conduct regular P&L reviews and track key performance indicators (KPIs) to identify areas for improvement and maximize profitability.

· Facilitate lead management efforts, implementing strategies to enhance revenue generation and capitalize on growth opportunities.

· Drive business development initiatives, cultivating strategic partnerships and expanding service offerings to meet evolving patient needs.

People Management:

· Oversee accurate time card submissions ensuring hours worked are properly tracked and recorded. This includes the management of overtime and time off. 

· Hold regular team meetings to review performance and foster collaboration, along with one-on-one sessions for mentorship, while implementing training programs and performance management to support continuous improvement and growth.

· Partner with Empower Aesthetics’ corporate Talent Acquisition Team to identify staffing needs, interview, and hire new team members for your practice following the provided guidelines. 

Marketing and Outreach:

· Partner with Empower Aesthetics’ corporate Marketing team to carry out marketing initiatives effectively within the practice. Including but not limited to:

o Assist in execution of local marketing and sales operations.

o Progress monitoring for local marketing and sales operations.

o Local marketing and sales operations engagement. 

· Cultivate local business partnerships and community engagement activities to enhance our practice's visibility and reputation.

Process and Compliance Management:

· Ensure compliance with all relevant regulations, industry standards, and internal guidelines governing the operations of the practice. Including but not limited to OSHA, HIPPA, and other healthcare laws and regulations.

· Maintain a culture of excellence in customer service and patient experience, fostering a positive and supportive work environment for all staff members.

Requirements

  

Qualifications:

· Bachelor's degree in business administration, healthcare management, or related field preferred. 

· 2+ years of management experience in the healthcare/retail space preferred.

· Knowledge of regulatory requirements and compliance standards in the healthcare industry.

· Proficiency in Microsoft Office suite and experience with practice management software systems


Supervisory Responsibilities:

Site Level Administrative Staff 


Travel Requirements:

This position requires local travel between our Albany and Glens Falls, NY locations as needed to support business operations.


Schedule: Full-Time
This position follows the clinic's operating hours: Monday through Wednesday and Friday from 9:00 AM to 5:00 PM, and Thursday from 9:00 AM to 7:00 PM. Occasional Saturday hours may be required to support clinic operations.


Working Conditions (includes physical demands): 

· Prolonged periods in a stationary position; must be able to remain in a stationary position up to 50% of the time

· The person in this position occasionally needs to move about inside the office to access equipment, etc.

· Uses hands/fingers to operate computers and other office machinery, such a calculator, copy machine, and computer printer

· May need to stoop and kneel to access files, or other equipment

· The person in this position needs to be able to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.

· The person in this position may need to move, transport, position or lift boxes weighing up to twenty pounds across the office for various needs

Salary Description
$60,000-$80,000 per year
