PURPOSE OF POSITION:
An Administrative Coordinator at Catholic Charities:
- Organizes office administrative operations and procedures such as supply orders, invoice tracking, database management, filing, and other administrative services as needed.
- Creates PowerPoints, fliers, signage and handouts as requested.
- In collaboration with Denver Shelter Leadership, edits policies and procedures, and other written materials as needed for Denver Shelters.
- Project coordination as assigned.
- Manages assigned databases (tech, employee phone logs & on/off boarding supplies) as well as data spreadsheets and lists in Teams and SharePoint.
- Manages Shelter Leadership calendars and schedules meetings, events and interviews as needed.
- Directs services such as computer, office equipment and vending machine maintenance and or repair.
- Works with IT to order technology and ensure our tech needs are met and maintained.
- Collaborates with external vendors to order goods such as signs, shirts, vests or other items as needed.
- Attends and participates in meetings as assigned, taking notes, maintaining the meeting files and coordinating of meetings.
- Purchasing and food delivery and set up/tear down for offsite meetings as needed.
- Performs the accounting and bookkeeping function for various accounts and submits reconciliations to Catholic Charities as needed. Develops methods for tracking special grant account expenditures and maintaining the budget utilizing the profit & loss sheets.
- Maintains professional ties with other service organizations/boards/committees for the benefit of the program.
- Transportation of IT equipment or other goods between facilities.
- Supports, promotes, and adheres to Catholic Charities’ vision, mission, values and Code of Ethics.
- Maintains confidentiality of client and agency information.
- Regular and predictable attendance.
OTHER DUTIES AND RESPONSIBILITIES
- Participates effectively as a team member through communication, cooperation, information sharing and problem solving.
- Participates in staff trainings as required.
- Participate in Division programming as appropriate.
- Any other tasks or duties as assigned.
QUALIFICATIONS
- Demonstrated understanding of Microsoft Office including Word, PowerPoint, Excel, Outlook, Adobe, Publisher, Canva and Teams.
- Ability to work effectively within the framework of Catholic teachings.
- Strong organizational, communication, interpersonal and presentation skills.
- Intermediate knowledge of computers to input information, maintain program data, create and generate reports, and create communications.
- Knowledge of the service population’s cultural and socioeconomic characteristics and the appropriate techniques and practices for the client population.
- Ability to interact effectively as a team member and independently with Agency staff and with a diverse client base.
- Must have own vehicle to travel in between work sites.
EDUCATION and/or EXPERIENCE
Associate degree or equivalent from a two-year college or technical school in related field; and three to five years related experience and/or training; or equivalent combination of education and experience.
LANGUAGE SKILLS
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups, managers, client’s customers and the general public.
REASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
CERTIFICATES, LICENSES, REGISTRATIONS
- Valid CO driver’s license, satisfactory driving record and proof of insurance required.

WORK ENVIRONMENT

The noise level in the work environment is usually quiet but can be noisy on occasion.
- Travel: Driving in between sites and or offsite meeting locations as well as stores/food vendors. Must be able to pick-up and deliver/set up of meals & beverages for large meetings and events.
