Position Overview:
We are seeking a highly organized, dependable, and detail-oriented Plant Administrator to support operations at ERock’s McCloud Power Station. This role supports the administrative foundation required for a mission-critical microgrid facility by managing site documentation, procurement coordination, contractor and visitor logistics, HR support, compliance records, and operational reporting.
This position is site-based and serves as a key support function to the Plant Manager and site leadership team. The Plant Administrator helps ensure that McCloud’s administrative, compliance, procurement, and communication processes remain structured, accurate, timely, and audit-ready.
This role operates within ERock’s management model, partnering with corporate Human Resources, Finance, Supply Chain, Legal, Compliance, Operations, Engineering, and other support teams to ensure alignment with company standards and processes. This role reports to the Plant Manager at McCloud Power Station.
Key Responsibilities:
Site Administrative Support
- Maintaining site administrative workflows, records, logs, controlled documents, and reporting files to support efficient day-to-day plant operations.
- Supporting the Plant Manager and site leadership team with scheduling, meeting coordination, reporting, action item tracking, and general administrative coordination.
- Maintaining organized records for site procedures, operating processes, contact lists, communication protocols, and site reference materials.
- Coordinating logistics for site meetings, employee events, training sessions, outage support activities, vendor visits, contractor mobilization, and regulatory or customer visits.
- Managing office supplies, administrative resources, site forms, shared files, and other support materials needed for effective site execution.
Procurement, Accounting & Contract Administration Support
- Supporting purchase requisitions, purchase orders, invoices, receipts, expense reports, material requests, and other procurement documentation in alignment with company policies.
- Tracking orders, receiving documentation, packing slips, purchase order status, open commitments, and related procurement records to support timely processing and accurate cost tracking.
- Reconciling purchase orders, invoices, receipts, and vendor documentation through approved company systems to support accurate and timely payment processing.
- Maintaining vendor and contractor records, including tax documentation, insurance certificates, safety documentation, contract records, and compliance-related documentation.
- Assisting the Plant Manager with localized budget tracking, discretionary spending records, financial reporting inputs, and cost variance follow-up.
CMMS, Inventory & Warehouse Support
- Supporting accurate data entry and administrative updates in the Computerized Maintenance Management System (CMMS) or applicable enterprise asset management systems.
- Helping maintain work order documentation, parts usage records, inventory logs, receiving records, and material movement documentation.
- Supporting warehouse and material control processes by maintaining documentation for parts received, stored, issued, transferred, or returned.
- Coordinating with maintenance, operations, planning, procurement, and corporate support teams to ensure inventory and work order records are accurate, complete, and traceable.
- Assisting with documentation needed to support preventive maintenance tracking, corrective maintenance history, spare parts management, and operational readiness reporting.
Human Resources & Training Support
- Supporting site-level HR activities under the direction of corporate Human Resources and the Plant Manager.
- Maintaining accurate and confidential records related to timekeeping, labor tracking, onboarding, employee documentation, training completion, certifications, and compliance requirements.
- Coordinating administrative activities for onboarding, new hire orientation, site access readiness, training schedules, and staffing support.
- Supporting documentation for programs such as fitness for duty, workers’ compensation, employee communications, and other HR-related processes as directed.
- Maintaining training files and qualification records that support site compliance, cross-training, workforce readiness, and audit preparation.
Compliance, Safety & Recordkeeping
- Maintaining accurate and auditable records for safety, training, environmental, operational, procurement, contractor, and compliance-related requirements.
- Supporting internal and external audits by organizing and providing required documentation in a timely and professional manner.
- Helping maintain records related to safety meetings, permits, incident reports, corrective actions, environmental documentation, training logs, inspection records, and compliance follow-up items.
- Supporting documentation related to action items, open issues, monthly reporting inputs, operational KPIs, and site performance reporting.
Communication & Site Coordination
- Serving as a professional administrative point of contact for site personnel, corporate support teams, vendors, contractors, visitors, and other approved stakeholders.
- Coordinating visitor scheduling, site access readiness, contractor badging support, meeting logistics, and documentation needed for planned site activities.
- Supporting consistent communication between McCloud site personnel and corporate teams including HR, Finance, Procurement, Legal, Compliance, Operations, Engineering, and Supply Chain.
- Helping ensure required documentation is available, current, and organized for operational reviews, leadership updates, audits, inspections, and stakeholder communications.
Role Scope & Leadership Expectations
- This role is responsible for execution and organization of site administrative functions that support McCloud Power Station’s operating discipline, compliance posture, and readiness.
- The Plant Administrator ensures documentation, reporting, procurement support, HR coordination, vendor records, and site administrative systems are accurate, consistent, and reliable.
- Success in this role requires strong attention to detail, organizational discipline, confidentiality, follow-through, and the ability to manage multiple priorities in a structured plant environment.
- This role serves as a key interface between site personnel and corporate functional teams while supporting the Plant Manager’s execution of site responsibilities.
Basic (Required) Qualifications:
- High School Diploma or equivalent required; Associate or Bachelor’s degree in Business Administration, Accounting, Human Resources, or a related field preferred.
- 3+ years of experience in administrative, HR, accounting, procurement, contract administration, or operations support roles.
- Strong organizational and recordkeeping skills with high attention to detail and accuracy.
- Ability to follow structured processes, meet deadlines, manage confidential information, and maintain professional communication.
- Proficiency with Microsoft Office applications including Word, Excel, Outlook, and PowerPoint.
- Valid driver’s license as required for site access.
Preferred Qualifications:
- Experience supporting industrial, manufacturing, power generation, construction, logistics, warehouse, or field service operations.
- Experience with purchase orders, invoices, expense reports, receiving documentation, procurement tracking, or vendor documentation.
- Experience with CMMS, ERP, asset management, or work order systems.
- Are highly organized and detail-oriented with strong administrative discipline.
- Have experience supporting operations in an industrial, power generation, manufacturing, construction, or technical field environment.
- Communicate clearly and professionally with site personnel, corporate teams, vendors, contractors, and visitors.
- Are proactive and able to manage multiple priorities with minimal oversight.
- Take ownership of accuracy, documentation, process consistency, follow-up, and confidentiality.
- Are comfortable working with procurement, HR, financial, compliance, training, CMMS, and administrative systems.
- Understand the importance of audit-ready documentation and complete recordkeeping in a mission-critical operating environment.
- Represent ERock professionally in all interactions.
