Summary:
GTIA is seeking an experienced, detail-oriented Events Director to lead the design and execution of a high-impact 8-city roadshow and provide expert site selection and contracting support across GTIA's broader event portfolio. This role sits at the intersection of creative event experience and operational precision. This role calls for someone who can navigate a complex stakeholder environment, balancing competing priorities and timelines across internal teams, member communities, vendors, and venue partners while keeping all workstreams moving without losing sight of the attendee experience.
Essential Duties and Responsibilities:
Roadshow Program (Primary Focus)
- Own end-to-end planning and execution of an 8-city roadshow series, each event hosting approximately 100 attendees
- Lead venue sourcing, site visits, and recommendations for all roadshow cities, balancing experience quality with budget and logistical constraints
- Design event flow, agenda structure, room configuration, F&B, staging and A/V, and attendee experience for each stop, ensuring consistency of brand and quality across all markets
- Negotiate and manage venue, vendor, and supplier contracts for all roadshow events
- Develop and manage a master roadshow budget with city-level tracking and variance reporting
- Coordinate with internal stakeholders (marketing, channel, community) to align program content and event design
- Build and maintain production timelines, run-of-show documents, and onsite staffing plans
- Serve as primary point of contact for venues and suppliers from contract through post-event reconciliation
- Conduct post-event evaluations and apply learnings across the series
Portfolio Support — Site Selection & Contracting
- Provide site selection and RFP management support for other GTIA meetings and events as needed, including board meetings, committee gatherings, and GTIA events
- Review and negotiate hotel, venue, and supplier contracts to protect GTIA's interests, ensuring favorable rates, attrition, cancellation, and force majeure provisions
- Maintain a preferred venue database and supplier roster to support efficient sourcing across the event calendar
- Advise internal teams on venue options, market conditions, and contract risk
Key Performance Metrics:
- Roadshow Delivery: All 8 roadshow events executed on schedule, with production timelines, run-of-show documents, and staffing plans finalized by established pre-event milestones
- Budget Performance: Roadshow series delivered within approved master budget, with city-level variance maintained within agreed thresholds and potential variances submitted in advance
- Contract Value and Risk Protection: Measurable cost savings or concessions achieved through venue and supplier negotiations; contracts secured with favorable attrition, cancellation, and force majeure terms across the portfolio
- Site Selection Support: Venue sourcing recommendations and RFP support for portfolio events delivered within agreed timelines
- Continuous Improvement: Feedback gathered from staff, attendees, and venue partners for each roadshow event, with key themes documented and actionable learnings applied to subsequent stops in the series
Skills and Qualifications
- Demonstrated expertise in venue sourcing, contract negotiation, and supplier management
- Experience managing events of all sizes across multiple markets simultaneously
- Proficiency with event management tools, budget tracking, and run-of-show documentation
- Strong project management skills with the ability to manage multiple events and deadlines concurrently
- Excellent communication and stakeholder management skills; comfortable working cross-functionally
- Willingness to travel to all roadshow cities and other event locations as required
Education and/or Experience
- Degree preferred but not required for the role
- 15+ years of event planning and management experience, with a strong track record of executing multi-city or roadshow programs
