What You’ll Do
IronArch Technology is looking for an Executive Assistant to support AFCEC senior leadership at Kelly Annex, JBSA – San Antonio, TX. The successful candidate will provide high-level administrative, operational, and analytical support to AFCEC senior leadership.
The Executive Assistant shall provide high-level administrative, operational, and analytical support to AFCEC senior leadership. The Executive Assistant shall have detailed knowledge of office management policies, technologies, preparing senior executive correspondence, keen attention to detail, be able to apply DAF administrative governance (e.g., Tongue and Quill), superior time management, and procedures.
The Executive Assistant shall be responsible for coordinating and managing a variety of tasks and activities, working directly with organizational leadership to help with daily workload. The Executive Assistant shall assist with managing calendars and preparing official correspondence while maintaining a professional image and working at the highest efficiency possible.
The Executive Assistant shall provide administrative support by conducting research, preparing reports, handling information requests, and performing functions such as preparing correspondence, receiving visitors, tracking office expenses, preparing office supply requests, arranging conference calls, and scheduling meetings.
Additional support includes business objective support to track and assist in the management of AFCEC workflow to track and manage and support maintenance of task-management system records management and administrative communications, and meeting products.
The Executive Assistant shall provide consistently assigned personnel to perform the on-site requirements of this section. Routine rotation of personnel to fulfill these requirements is not permitted. Temporary substitutions are permitted for leave, emergencies, vacancies, or other temporary absences, provided continuity of support is maintained.
- Minimum of an associate's degree and four (4) years' experience or a minimum of eight (8) years of demonstrated experience in delivery and managing a staff executive office at the senior civil service/field grade officer (NH-IV/GS-15/O-6) level of service.
- Experience supporting senior executives or organizational leadership by managing complex calendars, meetings, correspondence, workflow actions, suspense dates, and executive priorities.
- Knowledge of, or demonstrated ability to apply, DAF administrative governance and official correspondence standards, including The Tongue and Quill.
- Advanced proficiency with Microsoft Office applications, particularly Outlook, Word, Excel, and PowerPoint.
- Ability to satisfy applicable DoD and DAF computer, network-access, cybersecurity, and information-assurance requirements.
Preferred Experience
- Ability to prepare and quality-check professional correspondence, reports, meeting minutes, briefings, and presentations.
- Exceptional attention to detail, organization, time management, and follow-through.
- Strong written and verbal communication skills.
- Ability to work effectively with senior leaders, internal teams, external stakeholders, and visitors.
- Previous experience supporting Air Force, Department of Defense, or other federal senior leadership.
- Experience with Task Management Tool, SharePoint, Microsoft Power BI, Adobe, Microsoft Edge, or comparable workflow and collaboration platforms.
