Fixed Asset Data Entry Specialist – Finance (Intern Fall Semester) FLSA Status: Non-Exempt

Position Overview
Sandy Cove Ministries is seeking a detail-oriented Fixed Asset Data Entry Specialist to provide temporary/project-based support to the Finance Department in the setup and implementation of the organization's Fixed Asset Module within its financial system.
The primary focus of this position will be to assist Finance with reviewing, organizing, validating, and entering fixed asset information into the financial system. The individual will work closely with Finance staff to help ensure that existing fixed asset records are complete, accurate, properly classified, and successfully established within the new fixed asset module.
This position is well suited for a student, recent graduate, accounting professional, or other individual with an intermediate understanding of accounting principles and strong attention to detail. Previous experience with fixed assets, accounting systems, or financial data entry is preferred but not required.
Key Responsibilities
1. Fixed Asset Module Setup Support
- Assist the Finance Department with implementation and setup of the Fixed Asset Module.
- Review existing fixed asset records and supporting documentation.
- Organize asset information in preparation for system entry and conversion.
- Assist with establishing asset records according to SCM's fixed asset categories and accounting requirements.
- Support testing and validation of asset information entered into the financial system.
2. Fixed Asset Data Entry
Enter and/or validate fixed asset information, including, as applicable:
- Asset description
- Asset identification or tag number
- Asset category/classification
- Department or cost center
- Acquisition/purchase date
- Original asset cost
- Vendor information
- Location
- Useful life
- Depreciation method
- Accumulated depreciation
- Net book value
- In-service date
- Disposal information, when applicable
- Other required financial system fields
Ensure information entered into the system agrees with available accounting records and supporting documentation.
3. Data Review & Reconciliation
- Compare existing fixed asset schedules to information being entered into the financial system.
- Identify missing, incomplete, duplicate, or inconsistent asset records.
- Assist Finance staff with researching discrepancies.
- Verify that asset classifications, useful lives, acquisition dates, and costs are entered consistently.
- Assist with reconciling fixed asset records to applicable general ledger balances.
- Maintain documentation of corrections or adjustments identified during the project.
4. Data Quality & Documentation
- Perform accuracy checks on information entered into the system.
- Maintain organized electronic documentation supporting asset records.
- Follow established naming conventions, asset classifications, and Finance procedures.
- Document questions or exceptions requiring Finance Department review.
- Maintain confidentiality of financial and organizational information.
5. Finance Department Support
- Work closely with Finance staff throughout the fixed asset implementation project.
- Assist with system testing and verification of fixed asset reports.
- Support preparation of schedules or reports needed to confirm successful implementation.
- Provide other accounting and data-entry assistance related to the fixed asset project as needed.
Qualifications
Education & Accounting Knowledge
- High school diploma required; college coursework in Accounting, Finance, Business Administration, or a related field preferred.
- Basic understanding of accounting principles and financial transactions.
- Familiarity with concepts such as asset cost, depreciation, accumulated depreciation, useful life, and net book value is helpful.
Technical Skills
- Comfortable working with financial/accounting systems and entering financial data.
- Proficiency with Microsoft Excel and spreadsheets.
- Ability to work with large amounts of detailed financial information.
- Experience with fixed asset software or fixed asset modules is preferred.
- Previous experience with financial system implementations or data conversions is a plus.
Preferred Experience
- Previous accounting, bookkeeping, or finance experience.
- Experience maintaining or entering fixed asset records.
- Experience working with general ledger or fixed asset systems.
- Experience with financial data cleanup, reconciliation, or system conversion projects.

Project Objective
At the completion of this assignment, Sandy Cove Ministries should have a complete, accurate, and validated fixed asset database established within the financial system, with asset records appropriately classified and supporting information organized for ongoing Finance Department administration.
The position will provide important support to SCM's efforts to strengthen fixed asset accounting, financial reporting, internal controls, and ongoing management of organizational assets.
- Physical demands: While performing the duties of this job, the employee is occasionally required to stand, walk, sit, use hands, climb stairs, balance, stoop, kneel, see, talk, and hear. The employee must occasionally lift and/or move up to 40 pounds.

Compensation: $20.47/hr. - $24.08/hr.
