In-Home Care Branch Coordinator
Carnegie Office — Carnegie, PA
Build a career where your work matters and your people know your name.
Tired of being a number? So were we. For more than 20 years, Anova Health Care System has cared for families across Allegheny County as a proudly independent, family-owned company, a rarity in Western Pennsylvania. Here, the people making decisions actually know your name. Growth isn't a buzzword, it's something we invest in. And the folks who do good work? They stay, because we give them every reason to. This isn't a stop on the way to the next thing. It's a place to build something. Come see what we can do together.
About the Role
The In-Home Care Branch Coordinator is at the heart of everything we do. You'll primarily support our waiver program clients, making sure their care is delivered with excellence and compassion, while coordinating the caregivers who make that care possible. And here's what makes this role rare: it's five careers in one. Recruitment. Staff management. HR and payroll. Compliance. Daily operations.
You'll grow skills here that most people take years and several jobs to build.
We're looking for someone authentic, empathetic, and hard-working. Someone who takes pride in a job done well and who wants to grow, right here, with a team that will invest right back in them.
What You'll Do
- Recruit and onboard new caregivers
- Create and maintain client and caregiver schedules, with an emphasis on waiver clients, in a 24/7 environment
- Schedule visits in alignment with care plans and staff availability, matching the right caregiver to the right client
- Assist in new client opens and supervisory visits throughout each month in a client's home
- Communicate new assignments and schedule changes clearly and promptly
- Partner with Field Supervisors on new cases and supervisory needs
- Maintain staff and client databases and document care notes in real time
- Ensure authorizations and compliance requirements are met per insurance and waiver program standards
- Manage day-to-day scheduling challenges (call-offs, no-shows, EVV, and more)
- Track and update client and caregiver compliance items such as TB screenings, licenses, and renewals
- Document client and caregiver incidents, emergencies, or changes in condition
- Audit and approve caregiver time cards and process payroll data
- Provide management with updates on client and caregiver concerns
- Manage the after-hours "On Call" phone on a rotating basis
- Run and analyze reports on scheduled hours, missed visits, and client concerns, and recommend caregivers for recognition
- Work collaboratively with the team while meeting state, local, and insurance requirements
The Experience You'll Build
This role is a genuine launchpad. In one position, you'll develop hands-on skills across recruitment, staff and schedule management, HR and payroll, compliance, and client relations. For the right person, this is the foundation of a real career in home care operations and leadership, and we'd love to help you build it here with us.
What We're Looking For
- A minimum of 1 year in home care scheduling and/or logistics (waiver experience strongly preferred)
- Exceptional customer service and communication skills
- Strong organizational skills with genuine follow-through
- Someone who stays calm under pressure and can meet tight deadlines
- A decisive problem-solver with conflict-resolution skills
- Flexible and quick to adapt when things change
Qualifications
- High school graduate, at least 20 years old
- Computer proficiency
- Previous supervisory or management experience preferred
- Valid driver's license and reliable vehicle (this is a fully in-office role, but light travel may occasionally be required)

- Supportive, close-knit team environment
- Competitive pay with direct deposit
- Mileage reimbursement
- Health, dental, and vision benefits
- Employee-sponsored Colonial Life plans
- Paid time off
- 401(k) with matching savings plan
