Description

General Responsibilities/Job Summary

The Deposit Operations Document Imaging Representative supports the efficient and accurate administration of Deposit Operations document imaging activities. This position is responsible for scanning, indexing, reviewing, and maintaining loan and operational documentation; monitoring incoming branch and department batches for accuracy; completing document management workflows; and responding to internal inquiries and requests for information. The role coordinates with Deposit Operations, Retail, and other business areas to support daily processing, procedure updates, customer service, compliance with internal policies and regulatory requirements, and continuous improvement of departmental processes.


Essential Functions/Duties

The following duties are representative of the essential functions of the position:

  • Responsible for performing scanning duties to support the loan documentation function.
  • Assists with various tasks and services in the daily operations functions to obtain a high degree of accuracy in daily processes. 
  • Assists in developing effective and efficient processes to maximize resources. 
  • Responsible for responding to inquiries or requests for information; reporting pertinent information to the immediate supervisor; coordinating work with the department, as well as with other departments; providing periodic reports; ensuring the department’s compliance with operating policies, regulations and procedures and outside regulatory requirements; communicating with appropriate management and staff personnel. 
  • Provides telephone and email support for all staff as needed. Utilizes full range of Bank products and services to effectively maximize the Bank’s relationship with customers; maintains current knowledge of new products, identify product needs of customer to build relationships.
  • Strives to achieve excellent customer service, teamwork and participate in creating a positive and supportive work environment and company culture.
  • Accurately scans, indexes and reviews all necessary documents in a timely manner.
  • Maintains proper document order.
  • Notifies supervisor of any problems with hardware or software. 
  • Performs various duties to support the Deposit Operations Department functions and coordinating and overseeing various duties to support the document imaging system function as follows: 
  • Responsible for indexing incoming batches from branches/departments
  • Ensures that incoming branch/department batches are reviewed daily for errors.
  • Performs various daily searches
  • Completes and resolves Document Management workflows.
  • Participates in ongoing training and education of all rules, regulations and guidance pertaining to the banks Deposit Operations requirements. Cooperates with, participates in, and supports the adherence to all internal policies, procedures, and practices in support of risk management and overall safety and soundness and the Bank's compliance with all regulatory requirements. 
  • Assists in the development of written policies and procedures to ensure consistency in processes.
  • Responsible for complying with the Deposit Operations Hybrid Schedule if a remote work environment is an option.
  • Assists in coordinating and implementing procedure changes/updates to meet Deposit Operations and Retail needs.
Requirements

Education/Training: A high school diploma or equivalent.

Experience: A minimum of one (1) year of related experience normally required.
