These are the essential requirements to serve in the Special Education Technician role:
- Any combination of training/education, and experience equivalent to a bachelor’s degree from an accredited college/university.
- 1+ years of successful experience in a comparable private and/or non-profit sector, or related school operations.
- Has detailed knowledge of special education related services, or ability to obtain
- Proven ability to work independently, identify creative solutions, and handle sensitive information with strict confidentiality.
- Understanding of state and federal laws pertaining to Special Education.
- Working knowledge of IEP writing, implementation, and compliance.
- Strong ability to build and maintain effective relationships with internal and external partners. Experience working with blended, online, personalized, and/or virtual learning schools preferred.
These are the desired skills to serve in the Special Education Technician role:
- Proficient to advanced knowledge and skills in productivity applications, specifically, Google Workspace (e.g., Docs, Sheets, Slides, Calendar), AI applications, and project management and digital communication tools (e.g., Gmail, ParentSquare)
- Expertise in navigating Student Information Systems (SIS) and Special Education Information System (SEIS).
- Ability to rapidly learn and apply new technology, software, and evolving laws, regulations, policies and procedures.
- High attention to detail in data collection, invoice tracking, expenditure management, organization, and executing complex administrative tasks and projects.
- Competency in financial administration, including budget oversight, tracking department invoices, and managing vendor expenditures.
- A collegial approach to teamwork and the ability to manage multifaceted projects simultaneously.
Essential duties and responsibilities for the Special Education Technician may include: Related Services Coordination
- Identifies and coordinates qualified related service providers to deliver services outlined in scholars’ Individualized Education Programs (IEPs).
- Coordinates the completion and administration of Individual Service Agreements (ISAs), Master Agreements (MAs), and other required service-provider documentation.
- Maintains a master roster of related services by reviewing IEPs and confirming that all required services, providers, and service details are accurately documented.
- Coordinates the implementation of required services and assessments, identifies service needs, and supports timely solutions for scholars and families.
- Communicates regularly with service providers to confirm service delivery, address follow-up needs, and support continuity of services.
- Schedules regular coordination meetings between Special Education leadership and related service provider leadership to review services, resolve concerns, and support collaboration.
- Coordinates and monitors provider access to SEIS and other applicable systems.
IEP and Compliance Support
- Supports the coordination and scheduling of IEP meetings, including 30-day, annual, triennial, and other required meetings.
- Prepares, distributes, tracks, and follows up on required IEP-related documents and signatures.
- Monitors IEP timelines and supports timely completion by preparing monthly compliance reports, sending reminders to case managers, and notifying related service providers of upcoming meetings and due dates.
- Monitors service logs and attendance records in SEIS, identifies missed or incomplete services, and promptly alerts the appropriate Special Education team members.
- Supports the Special Education team in maintaining compliance through timely communication and follow-up with providers, scholars, and families.
- Applies and adheres to applicable federal and state laws, regulations, policies, and procedures governing special education programs and services.
Data, Records, and Systems Management
- Maintains accurate scholar records by uploading, organizing, and updating documents in SEIS.
- Obtains, verifies, and records service attendance submitted by vendors in the Student Information System (SIS).
- Supports the maintenance and accuracy of CALPADS data related to special education.
- Performs data entry, auditing, management, analysis, and reporting using information from multiple sources.
- Coordinates the retrieval, transfer, and maintenance of special education records and related documentation for newly enrolled and withdrawing scholars.
Contracts, Invoices, and Budget Tracking
- Reviews, codes, and tracks special education invoices on a weekly basis to support accurate and timely processing.
- Maintains current records of scholar services, provider contracts, and associated costs in a searchable and filterable tracking system.
- Tracks and projects annual costs by scholar, provider, contractor, and program.
- Maintains a working understanding of the Special Education Department’s budget and monitors expenses accordingly.
Departmental Support and Collaboration
- Collaborates with the Director and Managers of Special Education to provide ongoing operational, compliance, and administrative support.
- Communicates professionally and effectively with staff, service providers, scholars, families, and other educational partners.
- Performs other duties as assigned.

Work Environment:
Position is based in an approved home office in the State of California. As the safety, adequacy, and functionality of the approved home office is key, approval must be provided to work from any other location with the exception of the Central Office. May be required to also work from the Central Office, Learning Center, or other Compass location as directed by supervisor or the Superintendent & CEO. Must be able to work a flexible schedule as needed to meet the needs of scholars, Learning Coaches (parents), and staff. Must be able to travel throughout the State of California for school-related activities. Note - you will be required to notify HR if any work will be performed in San Francisco or out of state for any period of time for review and pre-approval.
