About the Position:

As a Marketing Coordinator, your primary responsibility will be supporting EEI's proposal and pursuit process—from reviewing RFPs and RFQs and developing response requirements through writing, editing, InDesign production, quality control, and final submission. You will also help maintain the project, resume, and marketing content needed to efficiently produce high-quality proposals and qualifications packages.
You will work closely with technical leaders, project teams, Marketing, and Business Development to translate complex engineering and building performance experience into clear, client-focused materials.
This role is ideal for a highly organized marketing professional who enjoys balancing writing, design, research, and deadline-driven coordination. You will regularly shift priorities, manage multiple concurrent assignments, and maintain strong quality standards in a fast-paced proposal environment.
Annual Compensation Range: $55,000-$68,000
The above salary range is based on the National labor market and subject to change based on location.
Essential Responsibilities:
Proposal Strategy and Coordination
- Review and analyze RFIs, RFPs, RFQs, QBSs, bids, and other solicitations; identify evaluation criteria, required response elements, forms, page limits, submission requirements, and compliance risks; and translate requirements into a clear proposal response plan.
- Develop proposal schedules, outlines, compliance matrices, and work plans; communicate milestones, ownership, review expectations, and deadlines to contributors.
- Coordinate proposal meetings, milestones, calendar invitations, follow-up communications, and collaboration with technical leaders, project teams, teaming partners, and subcontractors to gather and refine required content
- Complete final quality-control reviews to ensure proposals are complete, consistent, well-written, properly formatted, on brand, and compliant with solicitation requirements.
Writing, Editing, and Content Development
- Receive day-to-day proposal assignments, technical guidance, and quality-control direction from a Senior Marketing Manager or other designated senior leadership team members responsible for leading pursuits, particularly for complex or strategic pursuits.
- Write and edit clear, persuasive, client-focused content describing EEI services, project experience, staff qualifications, and differentiators.
- Translate technical subject matter related to engineering design, commissioning, building performance, energy, project management, program management, and construction management into accessible marketing language.
- Conduct research to support pursuit strategy, client and market understanding, and content development.
Design and Production
- Design and produce graphics and layouts for proposals, qualifications packages, presentations, collateral, advertisements, and digital communications.
- Apply EEI brand standards across print and electronic materials, coordinate employee and project photography, maintain organized visual assets, and prepare final files for electronic submission, printing, or distribution.
Additional Marketing and Business Support Projects
- Monitor assigned publications and procurement sources for relevant opportunities, prospective clients, and industry developments.
- Assist with prospect research and maintenance of client, media, and market contact information.
- Support website, social media, events, and other marketing initiatives as workload and priorities permit.
- Collaborate with employees marketing the firm’s services and, when appropriate, communicate directly with clients, prospects, architects, teaming partners, and other engineering firms.
Qualifications:
Required
- 2+ years of proposal coordination, marketing, technical writing, or related experience, preferably within the AEC or professional-services industry.
- Demonstrated writing, editing, proofreading, and verbal communication skills.
- Proficiency with Microsoft Word, Excel, Outlook, and PowerPoint.
- Demonstrated proficiency with Adobe InDesign, including creating, editing, formatting, and producing multi-page proposal and qualifications documents under deadline.
- Strong analytical, organizational, planning, and time-management skills, with the ability to prioritize competing deadlines.
- Ability to work independently and collaboratively, receive direction from multiple stakeholders, and manage multiple concurrent assignments.
- Ability to work flexible or additional hours when required to meet proposal and production deadlines.
- Applicants must be currently authorized to work in the United States on a full-time basis.
Preferred
- Experience supporting architecture, engineering, construction, commissioning, energy, or professional-services organization.
- Preparing proposals, statements of qualifications, compliance matrices, or Federal SF 330 submissions.
- Experience with graphic design, website content, social media, SEO, or digital advertising.
- Leveraging OpenAsset is strongly preferred.
Working Conditions
Typical Travel: Occasional travel based on business needs, including conferences, trade shows, or team activities.
Work Environment: Remote-first or office-based professional environment, with extensive computer use and frequent collaboration across teams and locations.
Physical Requirements: Regularly performs desk-based work involving extended periods of sitting and computer use; occasionally stands, walks, stoops, and lifts or moves materials weighing up to 25 pounds. Reasonable accommodation may be provided.

Partners with: Marketing, Business Development, Branch and Regional Leaders, Project Managers, Technical Staff, People Services, Operations, Teaming Partners, and Subcontractors.
Key Representative to: Clients, prospects, architects, engineering firms, teaming partners, vendors, and industry contacts, as appropriate to the assignment.
