Role Overview/Summary: The Administrative Assistant provides administrative, client experience, and office operations support for the Greenville office. This role is responsible for helping maintain an organized, efficient, and professional work environment through coordination of office activities, employee and client support, facilities coordination, event logistics, and administrative support of select firmwide marketing initiatives.

  

Role Responsibilities:

  • Greeting clients and assisting with parking validation
  • Assisting in new hire on-boarding and orientation for Greenville employees
  • Providing administrative support to the Greenville office including but not limited to:
  • typing and formatting documents
  • ensuring adherence to GreerWalker standards (firm templates, branding, and document standards) 
  • scanning documents and conversion of PDF documents to properly formatted Word documents
  • assisting with meeting scheduling and setup, including related food and audiovisual as needed
  • Performing other general office tasks including but not limited to:
  • coordinating with building contacts for office maintenance, cleaning, access cards etc.
  • picking up and distributing incoming mail
  • preparing and distributing outgoing mail and courier shipments (FedEx, UPS, etc.) and making occasional bank deposits for checks received at the office.
  • monitoring kitchen and office supplies, running/emptying the dishwasher and tidying breakroom
  • monitoring and replenishing the snack pantry during Busy Season (January – April)
  • coordinating office meals and events - as needed on an ongoing basis and in coordination with the Charlotte office during Busy Season to support the client service teams and other firm wide initiatives
  • Support      Firm Marketing Initiatives:
  • draft proposals and fee letters using the firm proposal template
  • assist with maintaining the firm’s marketing database
  • perform various new client onboarding tasks
  • assist with maintaining firm event calendar 
  • assist with conference, industry association and other event coordination
  • contribute to marketing projects as needed
  • Performing various other tasks as needed
Requirements

Required Qualifications/Experience

  • Associate or bachelor’s degree with minimum 3.0 GPA, or high school degree and minimum 3 years related work experience
  • Ability to multi-task and to work independently with minimal supervision
  • Strong interpersonal and relationship building skills
  • Valid Driver’s License and reliable transportation


Preferred Qualifications/Experience

  • Experience in a similar role in industry 
  • Proficient with Microsoft Office (Excel, Word, and Outlook) at a minimum, more applications, including Adobe, preferred
  • High attention to detail
  • Self-starter with problem solving skills
  • Ability to manage time effectively and meet deadlines
  • Ability to multi-task and to work independently with minimal supervision
  • Strong interpersonal and relationship building skills
  • Team player with a positive “can-do” approach

  

Working Conditions

  • This position generally requires an 8a-5p schedule and generally does not qualify for remote work
  • Occasional same day travel using a personal vehicle
  • Able to work moderate overtime throughout the year and periodically assist with after-hours events
  • Physical requirements may consist of but are not limited to:
  • ability to be mobile throughout the workday, both standing and sitting
  • ability to also sit and stand for extended periods of time
  • ability to lift file boxes, mail, etc. not exceeding 20 lbs.
