 HB seeks a Family Office Associate to become a member of our team. This position serves as financial assistant and concierge service provider for ultra-high net worth families. The position will act as a liaison between financial planners, outside service providers and clients to provide the best experience for clients. Proper, detailed training will be provided upon hiring. Responsibilities will include but not be limited to: 

  • Respond quickly to, as well as anticipate client requests/needs, and maintain regular contact with co-professionals. 
  • Monitor and manage client bank accounts and credit cards. 
  • Annual budget preparation, monthly expense report review including expense categorization, income by state and budget variance. 
  • Account administration including money movements and payments on taxes, estate, and insurance.
  • Provide credit card bill disputes and fraud research; insurance claim processing  and utility and vendor management.
  • Ascertain  which vendors are subject to 1099 reporting and generation 1099 forms.
  • Domestic household employee management including processing bi-weekly payroll.
  • Assist with circulation of family company documentation to shareholders, accountants, and attorneys.
  • Preparation of meeting deliverables and completion of post meeting action items.
  • Arrange travel plans, including scheduling private aviation and creating detailed itineraries.
  • Act as a “gate-keeper” while prioritizing the needs of the family; exercising discretion and independent judgment on matters of significance.
Requirements
  • Bachelor’s degree in business related field preferred.
  • Excellent written and verbal communication skills; concierge experience preferred. 
  • High degree of accuracy in the processing of disbursements. 
  • Understanding basic principles of accounting and bookkeeping a plus. 
  • Proficiency in Microsoft products including TEAMS; Quicken/QuickBooks preferred.
  • Willingness to adapt to changing priorities as the organization grows. 
  • Ability to successfully pass criminal background / credit check required.
