Description

Brentwood Country Club is seeking a highly organized, detail-oriented, and service-focused Club Ambassador, to join our Membership Department. This elevated role combines the Club’s exceptional standards of hospitality with increased responsibility for membership administration, data management, reporting, and departmental support.

Working closely with the Member Services Manager, the Club Ambassador, Administrative Services plays an integral role in maintaining accurate and confidential membership information, supporting administrative initiatives and daily department operations, and delivering a welcoming, polished experience at the Front Desk.

The ideal candidate is a proactive and dependable professional who demonstrates excellent organizational skills, strong attention to detail, sound judgment, discretion, and the ability to analyze and manage information effectively.

Requirements

 

Membership Data & Administrative Services 

  • Maintain and regularly review accurate membership, prospective member, demographic, classification, and status information across Club systems.  
  • Track and analyze membership trends, including demographics, tenure, conversions, resignations, and membership classifications, and compile findings into organized reports and presentations.  
  • Maintain departmental spreadsheets, trackers, reporting tools, and records while assisting with special data projects and reporting requests.  
  • Support the Member Services Manager with Membership operations, administrative projects, member profile updates, Junior Membership activity, conversions, and departmental follow up.  
  • Support Admissions and Membership processes by organizing candidate information, documentation, and records and coordinating requests with other Club departments.  
  • Assist members with the mobile app, website, and Club technology, and support approved push notifications and Membership communications.  
  • Maintain the highest level of accuracy, discretion, and confidentiality when handling member, candidate, financial, and Admissions information. 
  • Support the Marketing Specialist with the creation, proofing, and promotion of Club communications across the mobile app, email, print, and other approved communication channels.  
  • Help ensure Club communications are accurate, consistent, and streamlined across platforms for members and guests, while supporting additional Membership, Marketing, and Communications needs as assigned. 

Member, Guest & Club Services 

  • Serve as a welcoming and knowledgeable point of contact for members and guests, providing proactive, personalized, and solution-oriented service.  
  • Maintain Front Desk operations, including calls, lobby activity, guest access, Executive Office materials, Lost and Found, and coordination with Security and other departments.  
  • Welcome and direct members, guests, vendors, and applicants while upholding Club policies, service standards, and a professional environment.  
  • Maintain knowledge of Club events, programs, policies, and emergency procedures to provide accurate information and support member engagement.  
  • Serve as a resource to Club Ambassadors, promoting consistent procedures, communication, and service standards.  
  • Collaborate across departments, demonstrate initiative, and identify opportunities to improve processes and Club operations.  
  • Provide Front Desk and event coverage based on operational needs and perform other duties as assigned. 

Essential Qualifications 

  • Strong hospitality and member service skills with professionalism and emotional intelligence to navigate a variety of interactions.  
  • Strong analytical, organizational, and attention to detail skills, with the ability to manage data, reporting, and multiple priorities accurately.  
  • Proficiency in Microsoft Office Suite, particularly Excel and Outlook, and the ability to learn Club systems including Jonas Club Management/Pacesetter, Docusign, Canva, Signera and Adobe.  
  • Excellent written and verbal communication skills, including the ability to prepare clear, professional correspondence and reports.  
  • Strong emotional intelligence and the ability to professionally navigate member interactions and sensitive situations. 
  • Demonstrated initiative, reliability, discretion, and sound judgment when handling confidential member, candidate, and Club information.  

Education & Experience 

Required: High School Diploma or GED equivalent and a minimum of two years of relevant professional experience. 

Preferred: Experience in a country club, luxury hospitality, membership services, administrative services, or data and reporting environment. 

Physical Requirements 

Prolonged periods of sitting at a desk and working on a computer. Must be able to lift up to 15 pounds at times.
